By setting up an offboarding workflow, you can ensure that no steps are missed and that the process remains consistent and compliant across your organization.
Use the offboarding workflow when an employee is leaving the company—whether due to resignation, contract end, retirement, or termination.
How to Use
- From the sidebar, go to Workflows
- Click on the Offboarding tab
- Select Add new Offboarding
- Enter the Name, Description, and Category (make sure it’s set to Offboarding)
- Go to the Configuration tab to start adding steps to the workflow
For each step, you can add:
- Tasks (e.g. request documents, personal info, contract data)
- Actions (e.g. send an automated email or a survey)
Adding a Task to a Step
- Click Add task in the selected step
- You can choose between:
- Custom Task
- File Upload
- Request document completion and signature
- After selecting the task type, complete the Set up fields:
- Define who should complete it.
- Choose which fields must be filled out
- Add a description
- Set a due date or attach documents if needed
- Mark as mandatory if required
- Preview the task
- Click Save task to add it to the step
Adding an Action to a Step
- Click Add action in the selected step
- Choose one of the following:
- Send automated email
- Send survey
- Fill in the details (email body or survey selection) and save

Assign Employees to the Offboarding
- Go to the Employees tab of the workflow
- Click Add employee
- Select the employee(s) to whom the onboarding applies
- Save changes

Can I edit an offboarding workflow after it’s been activated?
Yes, you can edit workflows at any time. Changes will apply to new terminations going forward but not retroactively. -
Can I use the same workflow for different departments?
Yes, you can create one workflow and add conditions based on department or location to customize it. -
What happens if a collaborator’s termination date changes?
The workflow will update automatically based on the new date, and tasks will shift accordingly.
