With customizable workflows, hiring teams can easily review resumes, conduct interviews, and assess candidates' suitability. The platform’s automated tools reduce manual tasks, such as scheduling interviews and sending updates, helping teams focus on making informed decisions.


How to manage the Recruitment functionality

The recruitment functionality can be found in the side bar. Upon clicking Recruitment it will reveal the five sections of the functionality: Jobs, Candidates, Messages, Open Positions and Insights.

 

Jobs

Create and manage job openings to attract new talent. Learn how to manage the Job section here.

 

 

Candidates

Manage candidates and their information in the Candidates section, from here you can review applications, add candidates to the Talent Pool and leave feedback as a hiring manager. Learn more about the Candidate database here.

 

 

 

Messages

The message inbox feature to allow you to directly message candidates, saving time and streamlining communication. Learn more about the message inbox here.

 

 

 

Open Positions

How to manage the Recruitment settings?

The recruitment settings can be found in

Here you can adjust the recruitment functionality according to your preferences.

Let's explore the process of setting up recruitment functionality for your company. This includes key steps and important considerations to ensure that the process runs smoothly.

 

 

At the top of the recruitment settings page there are five tabs: Customisation, Templates, Processes, Factorial AI, Candidate Data, and Integrations.

Let’s break these down one by one and discover the adjustments that can be made in each tab.

Customisation

  • Open positions page - decide whether to add or remove the Open Positions page in the recruitment functionality.
  • Tag manager - Create tags here to help better organise applicants. Tags help you filter and search for qualifications and experiences in the Talent Pool. Learn more about adding tags to candidates here.
  • Rejection reasons - Create or edit rejection reasons for your company hiring process.
  • Candidate sources - If you add candidates manually, you can modify the source to provide specific information in the candidate’s application.

 

Templates

  • Custom question templates - Speed up your hiring process and make screening more efficient by creating custom question templates.
  • Message templates - Create message templates to save time and improve efficiency with client communication. Learn more about message templates here.

Processes

  • Hiring pipeline - Define the stages your processes will have by default. This will ensure a structured process and accurate analytics. Learn more about the hiring pipeline here.

Factorial AI

Factorial’s AI system allows you to receive candidate recommendations based on their CV and application answers. Learn more about using AI to evaluate candidates here.

  • Match candidates using AI
    • Enable AI matching - Highlight most suitable candidates by analysing job requirements and comparing them with the candidate’s application.
    • Candidate summary - Summarise the candidate’s application so it is concise and informative, condensing key details such as work experience, skills, and education.

 

Candidate Data

  • Talent pool - With the candidate’s consent, add them to the talent pool and define how you want to manage the candidate database.
  • Open applications - Allow candidates to apply even when no job opening matches their profile.
  • Data retention - Set specific limits for job applications and talent pool retention, in compliance with the European General Data Protection Regulation (GDPR).

 

Integrations

  • Imported contracts - If your company operates with specific job boards under a contract or specific products, post directly on these platforms from Factorial by linking your contract. Learn more about import job board contracts here.
