Smart Recommendations to Approve Absences

When opening an absence request, the person how has to approve the time off request can view detailed information organized into three main sections to help make informed decisions.

  1. Dates of the leave, duration and employee affected
  2. Collapsed details
    1. Absence details
    2. Approval flow details - only for HR Admins or employee with Time Off supervisor permissions
  3. Automatic recommendation

 

Automatic Analysis

Factorial evaluates several factors to suggest whether an absence request should be approved or requires further review. The system checks the following areas:

1. Overlaps with Colleagues

  • Direct Reports: this reviews if some other employee in the direct reporting line for the same manager will be off during the dates of the requested leave.

 

  • Total Reports: this reviews if some other employee in the direct or indirect reporting line for the same manager will be off during the dates of the requested leave.

 

  • Teams: this reviews if, for the leave dates, some other employee in any of the teams the requester belongs to will be off.

 

2. Shifts Planned

This reviews if there are some planned shifts, in Shifts Management planning tool, for the dates of the requested leave.  This will consider official shifts as well as draft ones. This will be indicated in the tooltip.

 

3. Available Days

Factorial applies a validation in the process of submitting a time off request. A time off request can only be submitted if there are enough available days for the duration and dates of the absence requested. Therefore, the automatic analysis will not include that into the recommendation criteria, but will make the information available directly at this decision point to facilitate decision.


 

Automatic Recommendation

Based on the analysis, Factorial suggests whether to approve or review the absence. This will depend on the conflicts identified during the Automatic analysis of context information. This information will help taking a faster and better decision to the responsible of that absence request.

 

1. What is a conflict?

Conflicts are based on the analysis of Overlaps with direct reports and Shifts Planned. Additionally, the remaining information is checked to provide more context for the decision.

If no conflicts are detected, the system recommends approving the request. The details of the information will be available in tooltips, in case more detail wants to be checked

 

If at least one conflict is found, further review is suggested. The details of the information will be available in tooltips, in case more detail wants to be checked.

 

4. Final Decision

The reviewer can still approve or reject the request.


 

Redirect to shifts

In case there are shifts planned, the result of the recommendation will be “Review recommended”. If the approver decides to approve the absence, a new screen will appear to easily navigate to shifts planning tool, at the dates of the leave requested with.
