How to Manage File Visibility in Your Organization

Learn how to change the visibility of files individually or in bulk to manage access within your organization.

With this functionality, you can now easily control who has access to certain documents, whether they are public files or employee-specific files. This ensures that sensitive information remains secure and only visible to those who need access.

 

Changing Visibility of Individual Files

You can change the visibility of individual files in both the public and employee sections.

Public Files

  1. Access the Documents Tab
  2. Find the File
  3. Adjust Visibility. Look for the eye icon next to the file:
    1. If the icon is closed, the file is hidden.
    2. If the icon is open, the file is visible.
  4. Change the Visibility. Click on the eye icon to change the file’s visibility. A confirmation modal will appear with the following options:
    1. Perform the action.
    2. Perform the action and send a notification to inform users of the change.

 

Employee Files

  1. Access the Employee Section. In the “Documents” tab, navigate to the “Employee” section.
  2. Find the File
  3. Adjust Visibility. Look for the eye icon next to the file.
    1. If the icon is closed, the file is hidden.
    2. If the icon is open, the file is visible.
  4. Change the Visibility. Click on the eye icon to change the visibility. A confirmation modal will appear, where you can:
    1. Perform the action.
    2. Perform the action and notify the employee of the change.

 

Changing Visibility of Files in Bulk (Employee Section Only)

For multiple files in the employee section, you can adjust their visibility in bulk.

  1. Go to the Employee Section. Inside the “Documents” tab, select the “Employee” section.
  2. Select the Files
  3. Bulk Action. Click on the "Actions" button at the top and choose either "Visible" or "Hidden." A confirmation modal will appear where you can:
    1. Perform the action.
    2. Perform the action and notify the employees about the visibility change.

 

Keep Control Over Document Visibility

By using these features, you can manage access to important files across your organization, ensuring that documents are only visible to those who need them.
