Pages in One helps your teams access policy information instantly. By uploading internal documents, HR and managers can turn any policy into an intelligent source of answers. In this article, you’ll learn what Pages is, when to use it, and how to set it up.
Note: Pages is currently available only to Admins in the One AI beta.
Overview
Pages is a One feature that allows companies to upload any internal policy document—such as time-off guidelines, expense rules, travel procedures, or internal compliance information. Once uploaded, One processes the document and provides employees with accurate, permission-aware answers to their questions.
When and why it should be used
Use Pages when your teams need quick access to policy information without reading long documents or waiting for HR responses. It is especially useful for:
- Large organizations with frequent policy-related questions
- Companies with many internal documents
- HR teams that receive repetitive Q&A from employees and managers
- Pages helps make internal knowledge more accessible, consistent, and efficient.
How to use
- In your sidebar, go to Pages
- Click +New
- Edit your document and click Publish
- Once uploaded, One automatically reads, structures, and understands the content
- Employees can then ask questions about the policy, and One will provide answers based on the document and respecting access permissions
- Admins can monitor and manage the uploaded Pages from the Pages dashboard

If answers seem incomplete or unclear, ensure the uploaded document includes all relevant details. Documents with missing sections or ambiguous wording may lead to unclear responses.
If the document didn’t process correctly, confirm the file format is supported (PDF or text-based documents work best). Scanned documents may require OCR or a clearer version.
Tips and Best Practices
- Upload the most up-to-date version of each policy to avoid outdated answers.
- Use clear document titles so employees can easily identify each policy.
- Keep documents well formatted (clear sections, headers, and consistent terminology) to improve AI accuracy.
- When policies change, upload the updated version to ensure responses stay aligned with company rules.
FAQ
-
Can One AI answer questions from multiple policies at once?
Yes. If multiple Pages are available and the employee has permission to access them, One AI will combine relevant information and provide a unified answer.
-
What happens if a policy is duplicated or outdated?
One will treat each uploaded document as a separate Page. To avoid confusion, keep only the most current version published and archive outdated ones.
-
Does One store or modify the uploaded documents?
No. One reads the content to generate answers but does not modify the original file. Admins stay in full control of document management.
