Factorial sends notifications at key moments in the training lifecycle to keep employees informed and help admins manage courses effectively. This article covers what each notification does, when it triggers, and how to configure it.
Types of training notifications
There are three main types of training notifications in Factorial. Each one serves a different purpose and is triggered at a different stage of the training workflow.
Enrollment notifications
When you publish a training course, you can choose to notify all assigned employees via email that they have been enrolled. This is the first notification employees receive about a training and it only triggers when the course moves from Draft to Published status.

- This notification is delivered via email, not through the Factorial Inbox
Training request notifications
When employees submit training requests, the approval flow generates notifications at each step:
- For approvers: A notification appears in Inbox → Requests and an email is sent when a request needs their review. The request does not advance to the next approval level until at least one approver at the current level approves it.
- For applicants: An email is sent when their request is approved or rejected, including the reason for rejection if applicable.
How to set up enrollment notifications
Enrollment notifications are part of the course publishing step. There is no separate settings page for them.
- On your sidebar, click on Training
- Select the course you want to publish
- Review that all participants have been added
- Click Publish
- When prompted, choose to notify employees via email about their enrollment
The course must be in Draft status for this option to appear. Employees added to the course after publishing will also receive a notification via email when they are assigned.
Troubleshooting
Employees say they never received a notification about their enrollment
- Check if the course was published. This is the most common cause. Courses in Draft status do not trigger enrollment notifications. Go to the course and verify its status.
- Check the employee's email. Enrollment notifications are delivered via email, not through the Inbox. Ask the employee to check their spam or junk folder.
- Confirm the employee is assigned to the course. Enrollment notifications are sent when an employee is assigned to a published course.
Approvers are not receiving training request notifications
- Check the approval flow configuration. Go to Training → Settings and verify the approval groups are set up correctly.
- Verify permissions. The approver must have the relevant training permissions enabled, including access to the training management space and the ability to manage training requests. See Training permissions for the full list.
- Check approval level order. The request must be approved at the current level before the next level's approvers are notified.
FAQ
- Where are enrollment notifications delivered? Enrollment notifications are sent via email. They do not appear in the Factorial Inbox.
- What happens if I add a new employee to a course after publishing? The new employee will receive an enrollment notification via email when they are assigned.
- Can I customize the content of training notifications? Training notifications use Factorial's standard templates. For custom notification content, you can use the Custom notifications feature under Settings → Advanced configuration → Custom notifications to create automated notifications with custom triggers and messages.
