This article explains how contract end dates and platform access are handled in Factorial. You’ll learn what happens when a fixed-term contract ends and what actions HR teams need to take to ensure access is managed correctly.


 

Overview

In Factorial, contract end dates and platform access are managed independently. This means that when a fixed-term contract reaches its end date, the collaborator’s access to the platform is not automatically removed in all cases.

Being aware of this behaviour helps avoid misunderstandings during offboarding and ensures that access is revoked at the right time.

When and why this matters

This information is especially relevant when:

  • A fixed-term contract is ending
  • You are preparing or reviewing an offboarding process
  • You want to ensure that former collaborators do not retain access to the platform

Understanding this distinction helps HR teams:

  • Maintain data security
  • Avoid assuming access is removed automatically
  • Plan offboarding actions more effectively
 

 

How contract end dates and access work

When a contract reaches its end date

If a fixed-term contract ends, the collaborator will still have access to Factorial.
Access must be revoked manually by an administrator, either:

  • One collaborator at a time
  • On bulk for multiple collaborators

 

When the contract does not yet have an end date

If the contract does not have an end date set, administrators can manage both actions together.

From the Terminate employee flow, it is possible to:

  • Define the contract end date
  • Set the access end date in the same step and from the same window

If a contract has ended, but the collaborator still has access, this is expected behaviour. Contract expiration does not automatically remove access if the end date was already set.

 

 

Tips and best practices

  • Do not rely on contract end dates alone to manage access
  • Always check access status as part of the offboarding process
  • When possible, define both contract and access end dates in advance to avoid manual follow-ups
