What is Coffre-fort Numérique?
In compliance with French law, certain employee-related documents must be stored securely for extended periods—up to 50 years in some cases. To meet these legal requirements, companies must use a certified Coffre-fort Numérique (digital safe) that ensures both the integrity and accessibility of the documents over time.
Factorial provides this functionality through an integration with Primobox, a trusted digital safe provider in France.
What is Primobox?
Primobox is a French company specializing in secure document storage and digital safe solutions. They offer a legally certified solution called DeskRH, designed specifically for managing and storing employee-related documents in full compliance with French legal standards.
Thanks to Factorial’s integration with Primobox, companies can automatically store important HR documents in a secure, certified digital environment.
How to activate Coffre-fort Numérique?
Activating the CFN functionality needs to be done manually by your Account Manager in Factorial, please reach out to them and they will guide you on the activation process.
Once it is activated, a Digital Safe option will appear in the settings of the Compensation product.
Creation of safes
Primobox automatically creates secure storage spaces for legal entities during the registration process.
For employees, their individual storage space is generated the first time a payroll file is sent for them. At that point, they receive an email guiding them to create a new account or link it to an existing one.
If you need to create additional safes for new legal entities in the future, please reach out to your AM, who will assist you with the process.
Downloading pay slips
Every morning, Factorial will search for new documents in the Payroll folder and its subfolders of all your employees attached to French legal entities registered with Primobox. Documents belonging to employees with a valid identifier and personal email will then be transmitted to Primobox.
If there are any errors, Factorial will automatically send an email again the next day.
About notifications
After installation and every morning, if there has been an update in the previous 24 hours, Factorial will send an email to all company administrators to inform them of the changes.
How to deactivate Coffre-fort Numérique?
You can deactivate the CFN integration at any time. To do so:
- Go to Settings → Compensation in your platform
- Locate the CFN Integration section
- Click the toggle to disable the integration with CFN
Keep in mind:
- You can re-enable the integration later if needed.
- Once reactivated, only documents uploaded after the most recent activation will be synced. Any documents uploaded while the integration was disabled will not be processed automatically.
- You will be able to access pay slips on Primobox even after deactivating a legal entity or after leaving Factorial HR. If you wish to continue synchronizing your documents with the Primobox vault solution without Factorial HR, you must contact Primobox directly.
