Discover a pre-defined and digitized workflows to streamline your processes

Workflow Center Overview

Workflows help you automate recurring HR processes by creating predefined sequences of tasks that employees can follow at the right time and for the right reason. Whether it's welcoming a new hire, handling an offboarding, managing training, or designing a custom HR flow, workflows ensure that everyone knows what to do, when to do it, and who is responsible.

In Factorial, the Workflow Center is the place where you can build, edit, and manage all your workflows. You can choose from ready‑made templates or create your own tailored to your company's needs.


 

Where to find it

  1. In your sidebar, go to Workflows
  2. Here you will find all the workflows. There are four types of workflows available:
    • Onboarding – for welcoming new team members or transitions like parental leave return or role changes.
    • Offboarding – for managing departures smoothly and consistently.
    • Training – for automating learning and certification processes.
    • Custom workflow – for any other HR-related process you want to structure and automate.

Each type includes ready‑to‑use templates provided by Factorial. You can use them as-is or create your own from scratch.

 

 

Onboarding Workflow

Designed to streamline the process of bringing a new hire into the company, ensuring all tasks—from paperwork to equipment setup—are covered.

  1. In your sidebar, go to Workflow  
  2. Select Onboarding
  3. Here you can choose one of the three default templates:
    • New Hire Onboarding
    • Return from Parental Leave
    • Role Change Onboarding
  4. Or to customize a workflow, click + New Onboarding:
    • Enter the Onboarding name (e.g., “Marketing Manager Start”)
    • Add a Description
    • Select the Category: Onboarding
    • Click Create
    • Add tasks and steps—such as sending offer letters, arranging IT access, scheduling orientation, etc.

Offboarding Workflow

Ensures a structured and compliant exit process for departing employees.

  1. In your sidebar, go to Workflow  
  2. Select Onboarding
  3. Here you can choose one of the two default templates
    • Standard Offboarding
    • Offboarding for Retirement
  4. Or create a new one, click + New Offboarding and follow the same steps as for onboarding:
    • Name your workflow
    • Add a description
    • Choose Category: Offboarding
    • Build your step‑by‑step process—return of equipment, revoke access, exit interview, etc.

Training Workflow

Automates workflows related to staff training, such as assigning courses or certifying completion.

  1. In your sidebar, go to Workflow  
  2. Select Onboarding
  3. Here you can choose a default template
    1. Send course certificate
  4. Or create a new one, click + New Training to:
    1. Enter a name
    2. Describe it
    3. Set Category: Training
    4. Add steps—send enrollment, reminder emails, course links, certificates, etc.

Custom workflow 

  1. On your sidebar, click on Workflows
  2. Click on Custom workflow
  3. Click on + New workflow
  4. Enter a Workflow name and a Description
  5. Choose the Category: Custom, Onboarding or Offboarding
  6. Click on Create
