Where to find Sales Invoices

  1. On your sidebar, go to Finance → Sales
  2. Go to Sales Invoices tab
  3. Click on the proper invoice in the table to see the Invoice detail page.

 Invoices data are dynamic and will adjust based on the filters you set.

 

 

Invoice detail page

From invoice detail page, user can:

For issued invoices:

  • See related documents (invoice)
  • Create credit note
  • Copy: company name, billing details, VAT number, invoice number

For draft invoices:

  • Edit invoice draft
  • Delete invoice draft

 

How to edit a sales invoice 

There are two ways to edit a sales invoice:

  • Clicking on the invoice's three dots (…) → Edit draft in the data collection table
  • By clicking on the Edit Draft button within the project

What information can be edited

  • Template
  • Serial sequence
  • Operation date: date of the document
  • Due date: due date of the invoice
  • Issuer: Legal entity name
  • Recipient: Client
  • Project (if you selected one or want to add it)
  • Currency: specify the currency of the operation
  • Exchange rate
  • Line item: Items and/or services detail provided by the legal entity.
    • Item
    • Quantity
    • Price
    • Tax rate
  • Discount %: Global commercial discount on invoice
  • Retention (only Spain): Withholding amount
  • Custom elements: Add business operations and other info in the document.
    • Memo
    • Footer
 

After making any changes, you can choose to Save Draft or Issue Invoice.

 When you click Issue invoice, the system automatically saves the invoice as a draft. If any required information is missing (e.g. on the legal entity or the client), the invoice won’t be issued, but the draft will still be saved. You can safely close the view and return later to complete it.

Changes are only available for Draft Invoices, not for Issued invoices. Issued invoices cannot be deleted or edited. If you're unsure whether all information is correct, we recommend saving it as a draft first.

 

 

How to create a Sales Invoice

Create effortless invoices on the fly. An invoice can be created by following the next steps:

  1. In your sidebar, go to Finance → Sales 
  2. Access the Sales Invoices tab 
  3. Click on + New Invoice
  4. Fill your invoice data
    • Template
    • Serial sequence:  you select a serial sequence or create a new one if you want
    • Operation date: date of the document
    • Due date: due date of the invoice
    • Issuer: Legal entity name Bill to: 
    • Recipient: The selector shows both clients and vendors.
    • Project (optional)
    • Currency: specify the currency of the operation
    • Line item: Items and/or services detail provided by the legal entity.
    • Discount %: Global commercial discount on invoice
    • Retention (only Spain): Withholding amount
      • Tax rate
    • Custom elements: Add business operations and other info in the document.
      • Memo
      • Footer
  5. Click on Save draft if you want to keep the work for next editions work or just click on Issue invoice

If you choose a vendor as the contact for an invoice, they will automatically be converted into a client once you save the invoice. You’ll then see them listed in the Clients section. You can also easily create a new client.

 

 

How to export sales invoices list

  1. Go to the Sales invoices section
  2. Click three dots icon (…) in the top right corner
  3. Select Export data
  4. Choose the desired format, set necessary filters, and customise export column names to suit your requirements
  5. Click on Save

You will receive an email with the exported file, and you can also find it in your documents section in Factorial.

 

 

How to activate Verifactu?

 

  1. You will see a banner in the sales invoices section that will redirect you to the settings page so you can activate the Legal Entities for which you want to enable Verifactu
  2. In the Settings section, you will need to activate the Legal entity where you want to use Verifactu 
  3. Once this is done, you will immediately be redirected to complete a form. Fill it out and submit it
  4. You will be asked to download a file. Download it, sign it, and upload it again. 

 

Once completed, within a few minutes you will be able to issue invoices to Verifactu. 


 

Quotes

Where to find Quotes

  1. On your sidebar, go to Finance → Sales
  2. Access the Quotes tab

To see the Quote detail page, the user needs to click on the proper quote in the data collection table. 

 

 

How to create a Quote

Boost your business with professional Quotes. Now you can track business opportunities and finalize the process with a sales invoice.

  1. On your sidebar, go to Finance → Sales 
  2. Access the Quotes tab 
  3. Click on + Create Quote 
  4. Select:
    • Name
    • Quote for
      • Product
      • Time and materials
    • Click New quote to confirm
    • Within the quote, access the Quote details tab to fill
      • Basic information
        • Name
        • Number
        • Issue date
        • Expiration date
        • Description
      • Issuer and financial settings
        • Issuer legal identity
        • Legal entity currency
        • Quote currency
      • Customise your document
        • Template
        • Memo
        • Footer
      • Management
        • Status
        • Quote for
      • Client and deal
        • Client
        • Deal
        • Estimated deal value
        • Estimated deal close date
        • Option to be redirected to Edit deal
  5. Click on Save or Discard.

 A quote converted to invoice will add > -- meaning that once the invoice has a document number, the quote related to that invoice will also have one.

 

 

How to edit a quote 

  1. Go to a specific quote draft that should be edited
  2. lick on the three dots icon (…)
  3. Click on Edit quote 

Changes are only available for quotes not converted into invoices.

 
 

If you have Verifactu enabled:

  • Item entry: If Verifactu is activated, you’ll see 4 options to choose the type of transaction: 
    And several options to select which type of item it applies to: 
    Additionally, a new concept called Tax Fields has been added, where you must select the corresponding tax regime.

Corrective Invoice

Process to cancel an invoice issued with Verifactu. You can cancel the invoice directly from the invoice itself, and a new invoice with a negative amount will be automatically generated.

You can view the new invoice and download it to send to the customer.

What information appears when I access the view of a specific invoice with Verifactu?

You will see the activity log, where you can track all the steps of the invoice — from when it is created, to when it is recorded, sent to the Tax Agency, etc.

In the Documents tab, you will find the invoice ready to be sent to the customer, including the QR code.


 

Sales invoices in Projects

How to create a Sales Invoice from Projects

As a project owner, if you need to track sales to your delivered projects, now is possible to do that in Factorial.

Project subscription includes 3 Sales Invoices that can be linked to a different project. If you exceed that limit and need more invoices, please request info about Sales invoicing that will allow you to create any number of invoices associated with projects.

  1. In your sidebar, go to Sales

  3. Create an invoice as before
  4. Select a project
  5. Fill your invoice data
  6. Click on Save draft if you want to keep the work for next editions work or just click on Issue invoice.
