How Carryover works at the end of the year

Carryover allows unused vacation days from one year to be transferred to the next, according to your company’s policy. In this article, you will learn how this functionality works and how to configure it so that employees can make the most of their accumulated days.


 

Overview

Carryover allows unused vacation days at the end of the year to roll over into the next period. The company sets both the maximum number of days that can be carried over and the expiration date of these days.

When and why it should be used:

To prevent employees from losing unused vacation days.

To keep a clear record of days accumulated per annual cycle.

To ensure time-off policies are applied consistently across cycles.

 

 

How to configure it

  1. Go to Settings in the sidebar
  2. Select Time and then Time off
  3. Choose the policy where you want to enable or adjust carryover
  4. Within the policy, go to Time Off Allowances
  5. Edit the allowance to specify:
    • The number of days that can be carried over
    • The expiration date of the carried-over days (if applicable)

How employee sees it

Once configured, unused days will automatically appear in the next year, respecting the set limit and expiration date.

If the time off policy has carryover enabled, any unused days at the end of the year will be transferred to the balance of the following year. If a time off request is created before the end of the year for dates in the following year, the requested days will first be deducted from the carried-over unused days.

Tips and Best Practices

Communicate to your team how many days they can carry over and by when they should use them.

Consider sending reminders before carried-over days expire to encourage usage.

Adjust carryover limits according to workload and company policy to prevent excessive accumulation.

 

 

Troubleshooting

Days requested for the following year don’t reflect in the previous year.
This happens because the system operates in annual cycles. When the new cycle starts, requested days are automatically deducted from the previous year’s accumulated days.

Carried-over days exceed the allowed limit
Check the Time Off Allowances settings and adjust the maximum number of days that can be carried over.
