Employee permissions

Explore essential aspects of employee permissions to effectively manage access and enhance security within your organization.

Employee Permissions define what users can view, edit, or manage regarding employee information. These permissions ensure that personal and sensitive data is only accessible to authorised roles, while allowing managers and HR teams to efficiently handle employee profiles, contracts, documents, and employment details. Properly configured permissions help maintain privacy, compliance, and clarity across the organisation.

Employees must be assigned to the corresponding permissions group for contracts permissions to apply.

 

 

How to set up your Employee permissions

  1. In your sidebar, go to Settings
  2. Click on Permissions
  3. Select the Employees section
  4. Enable or diable permissions 
  5. Click on Save changes

Some permissions let you choose the specific scope of a permission in Factorial: deciding who a user is allowed to perform a certain action on.

  • For themselves: Only on their own profile/data.
  • For direct and indirect reportees: On employees who report to them, directly or through a hierarchy.
  • For people on teams they lead: Only on members of teams they manage.
  • For people in their legal entity: Anyone in their department, branch, or company entity.
  • For the whole company: Across all employees in the organisation.
 

 

Employees permissions

 

  • Add new employees

    This permission allows the employees inside the specific group of permissions to add new employees from the Employees section. 

This permission is only available to add employees manually, not by import.

Enable this permission for Import employees to work.

  • Bulk import cost centre assignments

    This permission allows the employees inside the specific group of permissions to assign or update employees’ cost centres in bulk by importing a file (e.g. CSV or Excel).

The user must have Manage cost centers enabled → See Finance permissions 

The user must have Manage cost centre assignments enabled

  • Can add or remove admins

    This permission allows the employees inside the specific group of permissions to grant or revoke administrator access in Factorial.

This is a sensitive permission that provides access to critical account settings. It should only be enabled for users responsible for managing administrators and overall account access.

 

 

  • Can manage jobs

    This permission allows the employees inside the specific group of permissions to create, edit, and delete jobs in Factorial. Users with this permission can manage job titles and job structures used across the platform, including their assignment to employees and their use in reports and organisational data.

The user must have Can view roles and levels enabled.

 

 

  • Can view roles and levels

    This permission allows the employees inside the specific group of permissions to hide or display the Jobs section, as well as the job role and level for each employee system-wide.

Enable this permission for these to work:

  • Manage positions
  • See Org chart
 

All employees can see their manager.

 

 

  • Export employees

    This permission allows the employees inside the specific group of permissions to export employees. 

This permission will replace any other permission.

  • Import employees

    This permission allows the employees inside the specific group of permissions to import employees.

The user must have permission to Add employees.

  • Manage Positions

    This permission allows the employees inside the specific group of permissions to manage positions in the Organisational Chart.

The user must have permission to See Org chart and Can view roles and levels.

 

 

  • See Org chart

    This permission allows the employees inside the specific group of permissions to view the Organisational Chart of the entire company.

Enable this permission for Manage Positions to work.

The user must have permission to Can view roles and levels.

  • See preferred name

    This permission allows the employees inside the specific group of permissions to see the preferred names of the rest of the company. The preference name does not appear in tools related to Payroll, mass documents and SEPA.

  • View aggregated data

    This permission allows the employees inside the specific group of permissions to view employee insights like gender and age in the team list. 

This aggregated data is never shown for teams with less than three employees.

 

 

  • Edit employee's company identifier

    This permission allows the employees inside the specific group of permissions to modify an employee’s company identifier in Factorial. The company identifier is a unique code or ID used to track employees internally for reporting, integrations, or administrative purposes.

It should only be granted to users who manage employee records and need to ensure consistency in internal tracking.

 

The user must have See employee's company identifier enabled.

You can choose the scope of this permission.

 

 

  • Edit employee's manager

    This permission allows the employees inside the specific group of permissions to edit the person who reports to you from the employee's profile. It also allows you to edit the absence supervisor.

The user must have permission to Can view roles and levels.

You can choose the scope of this permission.

 

 

  • Edit employee's seniority date

    This permission allows the employees inside the specific group of permissions to update an employee’s seniority date in Factorial. The seniority date is used to calculate tenure, benefits, and eligibility for certain policies.

It should only be granted to users responsible for maintaining accurate employee records and HR data.

 

The user must have See employee's seniority date enabled.

You can choose the scope of this permission.

 

 

  • Edit employees in bulk

    This permission allows the employees inside the specific group of permissions to edit all available information in the ‘Edit in Bulk’. 

It overrides any restrictions set by other permissions; this permission takes precedence.

 

You can choose the scope of this permission.

 

 

  • Edit personal info

    This permission allows the employees inside the specific group of permissions to edit all information found in the "Personal" tab for each employee.
    This information includes:
    • General information
      • First name
      • Last name
      • Preferred name (You will need to have permission to See preferred name)
      • Your pronouns
      • Date of birth
      • Legal gender
      • Nationality
      • Phone number
      • Communications email
    • Identification documents
      • ID type
      • ID number
      • ID expiration date
    • Address
      • Address line 1
      • Address line 2
      • City
      • Post code
      • County
      • Country
    • Emergency contact 
      • Name
      • Phone number
    • Bank information
      • Account number format
      • Account number
      • Sort code
    • Payroll information
      • Type of IRPF (%)

The user must have permission to See personal info.

  • Edit profile email

    This permission allows the employees inside the specific group of permissions to edit any employee's email.

The user must have permission to Share email.

You can choose the scope of this permission.

 

 

  • Make future employees visible

    This permission allows the employees inside the specific group of permissions to view employees who have been added to Factorial but whose start date is in the future. It is useful for HR and managers who need to plan onboarding, assign equipment, or prepare workflows before the employee officially starts.

It should be granted only to users involved in employee planning and administration.

You can choose the scope of this permission.

 

 

  • Manage cost centre assignments

    This permission allows the employees inside the specific group of permissions to create, change, or remove which cost centres are assigned to specific people, projects, or transactions.

The user must have Manage cost centers enabled → See Finance permissions 

Enable this permission for Bulk import cost centre assignments to work.

You can choose the scope of this permission.

  • See cost centre assignments

    This permission allows the employees inside the specific group of permissions to view which cost centres are assigned, without being able to change or manage them.

Enable this permission for Manage cost center assignments and Bulk import cost center assignments to work.

You can choose the scope of this permission.

 

 

  • See employee's company identifier

    This permission allows the employees inside the specific group of permissions to view an employee’s company identifier, without being able to edit or manage it.

Enable this permission for Edit employee's company identifier to work.

You can choose the scope of this permission.

 

 

  • See employee's seniority date

    This permission allows the employees inside the specific group of permissions to view an employee’s seniority date, without being able to edit or manage it.

Enable this permission for Edit employee's seniority date to work.

You can choose the scope of this permission.

 

 

  • See Former Employees

    This permission allows the employees inside the specific group of permissions to see employees who no longer work in the company.

Enable this permission for See Terminated Employees info to work.

You can choose the scope of this permission.

 

 

  • See personal info

    This permission allows the employees inside the specific group of permissions to access the "Personal" tab within each employee. You can view general information, identity document, address, emergency contact and payroll information.

Enable this permission for Edit personal info to work.

 

You can choose the scope of this permission.

 

 

  • See Terminated Employees Info

    This permission allows the employees inside the specific group of permissions to see the information related to the termination of an employee.

The user must have permission to See Former Employees.

You can choose the scope of this permission.

 

 

  • Share email

    This permission allows the employees inside the specific group of permissions to view the email from the employee's profile.

Enable this permission for Edit profile email to work.

You can choose the scope of this permission.

 

 

  • Terminate Employees

    This permission allows the employees inside the specific group of permissions to terminate an employee from their profile by clicking on the contextual menu located in the upper right corner. 

With this permission granted one can unsubscribe themselves.
