Choose the target group

The Target group (sometimes called participants, reviewees, audience or people to evaluate) is the set of employees being evaluated in a performance review. After launch, the people in it are called Targets. You choose them while the review is a draft, and Factorial creates the evaluations for them, according to the review types, when the review launches.

Before you start

  • The reviewers are not chosen here. They follow from the review types: each person evaluates themselves, their manager evaluates them, and so on. See Get started with performance reviews.
  • Only active employees can be evaluated.

Options

Option Who is evaluated When to use it
None (will decide later) Nobody yet You want to build the questionnaire first. You must choose before launching.
All employees All active employees Company-wide annual review
Manual selection The employees you pick, one by one or with the employee selector's filters A specific group, a pilot, or a list that doesn't match a team
Dynamic group Everyone in the selected Workplace or Team (you can select several) Reviewing one or more teams or offices

Steps

Choose the people while the review is a draft

  1. Go to Performance → Reviews and open the draft review.
  2. Click Edit at the top right.
  3. Open Target group.
  4. Select All employees, Manual selection or Dynamic group.
    • For Manual selection, select the employees in the selector.

Choosing the target group of a review, step by step

Add people after launch

  1. Open the active review and click Edit.
  2. Open Targets (Target management).
  3. Click Add targets.
  4. Select the employees and click Add.
  5. Factorial creates their evaluations and notifies their reviewers.

Remove someone after launch

  1. Open the active review and click Edit.
  2. Open Targets and find the person with Search by employee.
  3. Open the row's actions and click Delete target.
  4. Type the target's name to confirm ("To proceed, please enter the name of the target").

Rules and behavior

  • If you pick a Dynamic group, then the list of people is fixed when the review launches. People who join the team or workplace later are not added automatically.
  • If you add someone to an Active review, then you can pick any active employee who isn't in the review yet.
  • If you add someone to an Active review, then their reviewers get the "You have new evaluations to complete" email.
  • If you delete a participant, then every answer, score and insight about that person in this review is deleted.
  • If the review is Scheduled or Launching, then you can see the list of people but not change it. Remove the schedule first.
  • If the review is Finished, then you can't add or remove people.
  • If the people you chose produce no evaluations, then launching fails with "Your review may not have any reviewers".

Limitations

  • You can't choose people by job title, legal entity or custom field directly in Dynamic group. Use Manual selection with the selector's filters instead.
  • You can't exclude individual people from a Dynamic group. Use Manual selection.
  • You can't add or remove people once a review is Finished.
  • You can't evaluate external people who aren't employees in Factorial.

Troubleshooting

  • Symptom: "A new hire isn't in the review." → Cause: dynamic groups are fixed at launch. → Fix: add them with Add targets while the review is Active.
  • Symptom: "I can't find Add targets." → Cause: the review isn't Active, or everyone is already included. → Fix: check the review status.
  • Symptom: "I need to remove someone from a finished review." → Cause: participants can't be removed from finished reviews in the product. → Fix: contact Factorial support.
