Factorial can automatically extract candidate information from CVs uploaded in scanned or image-based formats. This helps reduce manual data entry and ensures candidate profiles are populated more quickly, regardless of the file format used.


 

Overview

Factorial automatically extracts information from candidate CVs when they are uploaded to the Recruitment module.

In addition to DOCX and text-based PDF files, Factorial now also supports:

  • JPEG (.jpg, .jpeg)
  • PNG (.png)
  • Scanned PDF files (PDFs without selectable text)

The extracted information is used to populate the candidate profile automatically.

When should you use it?

This functionality is useful whenever:

  • You create a candidate by uploading their CV manually
  • A candidate applies to a job through your recruitment process and uploads their CV

The extraction process runs automatically, regardless of whether the CV is uploaded by a recruiter or a candidate.

 

 

How to use

  1. In your sidebar, go to Recruitment
  2. Access the Candidates tab
  3. Click on the three dots (…) at the top bar
  4. Select Upload resumes
  5. Attach a candidate's CV 
  6. The system automatically detects the file format
  7. If the file is a supported format, Factorial processes the document and extracts the available candidate information.
  8. Review the generated candidate profile and complete the information if necessary

No additional configuration or action is required.

If no information was extracted from the CV, check that the uploaded file is one of the supported formats and verify that the image or scanned document is clear and readable. If the document quality is very low, the system may not be able to identify all the information.

The system extracts the information it can identify from the CV. If certain details are unavailable or unclear in the document, you can complete the candidate profile manually.

 

 

Tips and best practices

  • Upload clear, high-quality scans or images whenever possible to improve extraction accuracy
  • Before saving or progressing a candidate, review the extracted information to ensure all details are correct
  • If the CV contains handwritten text or poor-quality scans, some information may need to be completed manually
