Overview

Hiring Plan is a centralised workspace that connects every step of your recruitment process. It allows you to transform hiring needs into structured, trackable vacancies, assign clear ownership, and monitor progress in real time.

Each vacancy becomes a unit of work, linking the initial request to the final hire. This ensures consistent tracking, better reporting, and improved collaboration between HR, hiring managers, and finance teams.

When and why it should be used

Use Hiring Plan when you want to:

  • Replace fragmented hiring processes across emails, spreadsheets, or messaging tools
  • Gain full visibility into open roles, ownership, and hiring progress
  • Track hiring performance with accurate metrics like time to fill
  • Ensure every hire is linked to a validated hiring need
  • Improve alignment between HR, Finance, and Hiring Managers
 

 

How to use

Only for users with permission to View all vacancies.

 

Access the Hiring Plan section in Recruitment. Follow these steps to manage your hiring process with Hiring Plan:

  1. Review hiring needs
    • Automatically surfaced needs will appear (from planning, requisitions, or backfills)
  2. Approve hiring needs
    • Review each need and validate or cancel it
    • Approve the ones that should move forward
  3. Convert needs into vacancies
    • Once approved, convert each need into a vacancy
    • This creates a structured and trackable unit of work
  4. Assign ownership
    • Only for users with the corresponding permissions
      • Edit visible vacancies
    • Assign a Recruiter and Hiring Manager to each vacancy
    • Link the corresponding job opening
    • Use AI suggestions to speed up assignments when available

       

  5. Execute the hiring process
    • Manage candidates directly from the associated job opening
    • Track progress and deadlines in real time
  6. Track and close vacancies
    • Mark vacancies as filled once a candidate is hired
    • Ensure each hire is linked back to its original vacancy
  7. Request a new vacancy
    • Only users with the corresponding permissions
      • Create job opening requisitions
    • Click on +Request a new vacancy within the Requisitions section
    • Fill in the information and click on Create
  8. Create a new vacancy
    • Only users with the corresponding permissions
      • Create vacancies
    • Click on +New within the Vacancies section
    • Fill in the information and click on Create

If you do not see any hiring needs, make sure hiring needs are created through planning, requisitions, or backfills and check permissions or contact your admin.

If you cannot convert a need into a vacancy, ensure the need has been approved and verify all required fields are completed.

If ownership is unclear or missing, confirm that both Recruiter and Hiring Manager roles are assigned and update assignments manually if AI suggestions are not available.

If metrics seem inaccurate, check that vacancies are properly updated (e.g., marked as filled) and ensure all hires are linked to a vacancy.
