Learn how to efficiently upload multiple job vacancies at once using the Universal Importer tool for streamlined recruitment.

Table of Contents

The Universal Importer allows you to bring existing vacancies into Factorial in just a few steps. Instead of creating vacancies one by one, you can upload a CSV or Excel file and import multiple vacancies at once.

This article explains how to use the Universal Importer for vacancies, review import results, and resolve any errors that may occur during the process.

Overview

The Universal Importer for Vacancies enables customers on the Hiring plan to upload vacancy data directly into Factorial using their own CSV or Excel files.

Unlike traditional import tools, the importer does not require a specific template or predefined file structure. During the import process, you can map the information from your file to the corresponding vacancy fields in Factorial and review the results before completing the import.

After the upload, Factorial provides feedback on the import status, including successful imports and any records that could not be processed.

When and why it should be used

Use this feature when you need to:

  • Migrate vacancies from a previous applicant tracking system (ATS)
  • Import vacancies from an Excel spreadsheet or CSV file
  • Centralise recruitment data in Factorial
  • Create multiple vacancies at once instead of entering them manually
  • Speed up the initial setup of your Hiring account

How to use

  1. In your sidebar, go to Recruitment
  2. Open the vacancies section
  3. Click on the three dots (…) at the top and select Import vacancies
  4. Upload your CSV or Excel file
  5. Review the fields detected by the importer
  6. Map the columns from your file to the corresponding vacancy fields in Factorial
  7. Confirm the import
  8. Review the import summary
  9. Check any reported errors and update the file if necessary

If some vacancies were not imported, review the error messages displayed in the import summary, correct the affected records in your file and upload the corrected file again.

If information appears in the wrong field after import, verify that each column was mapped to the correct vacancy field before confirming the import and repeat the import if the mapping needs to be adjusted.

Tips and best practices

  • Review your data before importing to ensure vacancy information is complete and up to date
  • Use clear column names in your file to make field mapping easier
  • Remove duplicate vacancies before importing
  • Verify that required vacancy information is included in the file
  • Review the import summary after each upload to identify and resolve any issues quickly
