Dynamic membership allows you to automatically add collaborators to a Community based on predefined criteria, helping keep Community membership up to date without manual work. In this article, you'll learn how dynamic membership works, how to configure it, and what to expect once it's enabled.



Overview

Dynamic membership automatically adds collaborators to a Community when their profile matches one or more configured criteria. This helps ensure Communities stay aligned with your organisation's structure as your workforce changes.

This feature is useful when you want to:

  • Reduce manual Community management
  • Automatically include new collaborators who meet specific criteria
  • Keep Community membership consistent as collaborators join or move within the organisation

Dynamic membership only adds members automatically. Collaborators are not removed automatically if they no longer meet the configured criteria. If someone should no longer belong to a Community, an admin must remove them manually.

 

 

How to use

  1. In the dashboard, go to Communities
  2. Create a new Community or open an existing one
  3. In the Community settings, click on Automate invites
  4. Select one or more criteria to define who should automatically join the Community
  5. Save your changes

Once the Community is configured:

  • Any collaborator whose profile matches the selected criteria is automatically added to the Community
  • Newly onboarded collaborators are also added automatically if they meet the configured criteria
  • Community members remain in the Community until they are removed manually by an admin

If a collaborator was not added to the Community, check that:

  • The collaborator's profile matches all configured criteria
  • The Community's dynamic membership rules have been saved
  • The collaborator's profile information is complete and up to date

If a collaborator still appears in the Community even though they no longer match the criteria, this is expected behaviour. Dynamic membership only automates adding members. To remove someone from a Community, an admin must do so manually.

 

 

Tips and best practices

  • Combine multiple criteria to create more targeted Communities
  • Review your membership criteria periodically to ensure they still reflect your organization's needs
  • If membership should change, remove collaborators manually, as the system does not automatically remove members when their profile no longer matches the criteria

  1. Are existing collaborators added automatically when I enable dynamic membership?
    Yes. Any collaborator whose profile matches the configured criteria is automatically added to the Community.
     
  2. Are newly onboarded collaborators added automatically?
    Yes. As soon as a newly onboarded collaborator matches the configured criteria, they are automatically added to the Community.
     
  3. Can I use more than one criterion?
    Yes. You can configure multiple criteria to create more specific Community membership rules.
     
  4. Why aren't members removed automatically when they no longer match the criteria?
    This is intentional. Community membership is only added automatically to help prevent accidental removal. If a collaborator should no longer be part of a Community, an admin must remove them manually.
