If your company has a German legal entity, you can collect the information required for DATEV payroll directly during employee onboarding.
Overview
This functionality allows companies with a German legal entity to collect German payroll information during the Personal Information onboarding task. The onboarding experience includes four new categories of payroll fields:
- Permits and certificates
- Insurance and contribution yype
- Taxes and deductions
- Work activity
These categories are only displayed for companies with a German legal entity or for employees associated with a German legal entity. The same conditions apply to both the admin configuration and the employee-facing onboarding experience.
This feature should be used when your organisation needs to collect German payroll information for new hire.
How to use
Configure the onboarding workflow
- In your sidebar, go to Workflows
- Open the Onboarding workflow
- Create a new onboarding workflow or edit an existing one
- In the Configuration tab within the workflow, click on Add task
- In the first step, select Personal information
- If your company has a German legal entity, the following sections are available:
- Permits and certificates
- Insurance and contribution type
- Taxes and deductions
- Work activity
- Configure the fields you want employees to complete during onboarding
- Save your changes

Complete the onboarding task as an employee
- Open your onboarding tasks
- Access the Personal Information task
- Complete the required DATEV payroll fields
- Submit the task
If the DATEV payroll sections do not appear during onboarding, verify that:
- The company has a German legal entity
- The employee is assigned to a German legal entity
- The Personal Information task is included in the onboarding workflow
Tips and best practices
- Ensure employees are assigned to the correct German legal entity before starting onboarding so the DATEV fields are displayed
- Review the required payroll information before sending onboarding tasks to reduce incomplete submissions
- If you use integrations, keep payroll data synchronised by using the Public API endpoints consistently
