While a performance review is Active, admins and review owners can fix who is evaluated and who evaluates. You can add or remove targets, replace the reviewer of an unsubmitted evaluation, update a direct report review after a manager change, and delete pending evaluations that will never be answered.
Before you start
- These actions are for admins with Review Process Full Visibility and review owners.
- Submitted evaluations are protected: you can't replace their reviewer or delete them.

|---|---|---|
| Add targets | Review Active | Edit > Targets > Add targets |

Step by step
Replace the reviewer of an evaluation
- Go to Performance > Reviews and open the active review.
- In the Insights tab, click the person whose evaluation you want to change.
- On the evaluation card (for example Manager review), open the menu (…) and click Replace reviewer.
- Select the new reviewer and confirm. "The new reviewer can complete the review and, if the action plan is active, initiate and sign it. They can access Insights only if they are a direct or indirect manager."
- If you replaced a manager and the employee has an unsubmitted Direct report review of the old manager, Factorial asks Update the direct report review: "<Employee> will review <new manager> instead of <old manager>. Any answers they already drafted will be deleted." Confirm to update it.
Delete a pending evaluation
- Open the review and click the person.
- On the pending evaluation card, open the menu (…) and click Delete review.
- Confirm ("Are you sure you want to delete this pending review? This action cannot be undone.").
- The evaluation, its inbox task and its draft answers are removed, and the person's score and participation are recalculated.
Add or remove targets
See Create a performance review: templates, questionnaire and target group.

Rules and behavior
- If an evaluation is submitted, then you can't replace its reviewer or delete it.
- If you replace a reviewer, then the new reviewer gets the evaluation in their inbox and the old reviewer loses access to it.
- If you update the direct report review, then any answers the employee drafted for the old manager are deleted and they start from a blank questionnaire.
- The Update the direct report review option only appears if the new manager is already part of the review and the employee's direct report review hasn't been submitted.
- If you delete a pending evaluation, then the participation rate no longer counts it.
- Reviewers can't delete or decline their own evaluations.
- If you replace the reviewer of a manager review, then its additional reviewers stay. If the new reviewer was one of them, they become the reviewer.
- If you delete a participant, then all evaluations, answers, scores and insights about them in this review are deleted.
Limitations
- You can't replace the reviewer of a self review.
- You can't change reviewers or participants in a Finished review. You can only delete pending evaluations there.
- You can't move submitted answers to another reviewer.
- You can't remove a participant from a Finished review in the product. Contact support.
Troubleshooting
- Symptom: "Replace reviewer doesn't appear." → Cause: the evaluation is submitted, it's a self review, or the review isn't Active. → Fix: only unsubmitted manager, peer and direct report evaluations in active reviews can be reassigned.
- Symptom: "The participation rate is stuck because someone left the company." → Cause: their pending evaluations still count. → Fix: use Delete review on each of them.
- Symptom: "You can update the evaluator only in an active review, for an unsubmitted evaluation." → Cause: the evaluation is already submitted or the review isn't active. → Fix: no change is possible on that evaluation.
