File a purchase request with One

Learn how to efficiently submit a purchase request using One to streamline your procurement process.

Overview

One can read what you type or attach and turn it into a complete purchase request, so you don’t need to fill in every field yourself.

When and why to use it

  • You already have a quote, invoice, or offer to attach.
  • You’d rather describe the purchase in a sentence than complete a multi-field form.
  • The vendor isn’t registered in Factorial yet — One can create it as part of the request.

How to use

  1. Open One
  2. Describe the purchase you need, for example: “I need a new laptop, here’s the quote.”
  3. Attach the quote, invoice, or a screenshot of the offer, if you have one.
  4. One identifies the request type and fills in the form, using the attachment and the information Factorial already has about you.
  5. Answer any questions One asks if it’s missing information.
  6. One submits the request into your company’s approval workflow.

Tips and Best Practices

  • Attach a clear, legible file (PDF or image) so One can read the price and vendor correctly.
  • Describe the purchase with as much detail as you can (what it is, the approximate cost, how urgent it is) to reduce the number of follow-up questions One needs to ask.

Troubleshooting and FAQ

Troubleshooting

  • One is missing information. It will ask you directly in the chat — answer in plain language.
  • The attachment wasn’t read correctly. Check that the file is a clear PDF or image. If the issue continues, contact the support team.

FAQ

  1. Do I still need to choose a request type myself?
No. One identifies it based on what you describe and attach.

  2. What happens after I submit the request?
It follows the same approval workflow as a request created from the form.

  3. What if I don’t have a quote or invoice to attach?
You can still describe the purchase in One. It will ask you for any details it needs.
