You can now ask One to send messages on your behalf directly through Factorial Chat. One identifies the right people, drafts a personalised message for each person, and sends it only after you review and approve it. This helps you save time when sending reminders, sharing updates, or collecting information from multiple people.
You can use this feature from both the Factorial web and mobile apps.
Overview
One can help you send individual, personalised messages to multiple people in Factorial Chat. Instead of finding each person and writing every message manually, you can describe who you want to contact and what you want to say in your own words.
One identifies the recipients, prepares the messages, and asks for your approval before sending anything. Each person receives a private direct message from you, marked as written with One. Recipients can reply directly to you in Factorial Chat.
When and why to use it
Use One to send personalised messages when you need to contact several people about a shared topic but want each person to receive an individual message.
Common use cases include:
- Reminders about pending tasks: Contact people who have not submitted their expenses or completed their time entries.
- Deadline reminders: Remind specific teams about upcoming deadlines, such as performance reviews or quarterly goals.
- Collecting missing information: Ask people to complete missing details in their profiles, such as emergency contact information.
- Team updates: Share information with your direct reports or members of a particular team.
- Welcoming new joiners: Send personalised welcome messages that mention each person's team or manager.
- Quick questions: Ask several people about their availability or feedback and receive their answers in private chats.
This feature is particularly useful when you need to reach the right people quickly without sending a generic group message.
How to use
1. Ask One to send a message
Open One in Factorial and describe who you want to contact and what you want to say.
For example:
- "Find people who have not submitted their expenses and ask them to update them"
- "Remind everyone with incomplete time entries this month to complete their timesheets"
- "Tell my direct reports about the new office hours"
Be as specific as possible about the recipients and the message you want to send.
2. Review the recipients
One identifies the people who match your request and displays the recipient list.
- Review the list to make sure the right people are included
- If you are sending a message to a group, untick anyone you do not want to contact before continuing
- Remember that One can only message people you are allowed to access and who use Factorial Chat
If someone cannot be reached, One tells you their name.
3. Review the message
One prepares the message based on your instructions.
- For personalised messages, One can use each person's first name and relevant details, such as their team or manager
- For a personal message, One shows you an example of the version prepared for one recipient
- Check that the wording, tone, and information are correct before proceeding
If you want to remove someone from the recipient list, you can untick people from the recipient list before continuing with a group message. Review the list before moving to the message approval step.
4. Approve and send
Review the confirmation dialog and approve the sending action.
Nothing is sent until you approve the messages. Once you confirm, One sends each message as a private direct message from you through Factorial Chat. Each message is marked as written with One.
Each sending action can reach up to 25 people. If you need to contact more people, you may need to split the recipients into multiple sending actions.
5. Check the delivery status
After sending the messages, you can ask One what happened.
For example, ask: "Did everyone get it?"
One reports, person by person, who received the message. If someone could not be reached, One can identify them so you know which recipients were not contacted.

Tips and best practices
- Be specific about your recipients. You can identify people by team, manager, or relevant information, such as pending tasks or missing profile details.
- Explain the purpose of the message. Tell One what recipients need to do and include any relevant deadlines.
- Request personalisation when needed. For example, ask One to greet each person by first name and mention their team.
- Check the recipient list carefully. Remove anyone who should not receive the message before continuing.
- Review the draft before approving it. Make sure the message is clear, accurate, and appropriate for the recipients.
- Keep messages concise and actionable. Explain what the person needs to do and when they need to do it.
- Check the results after sending. Ask One who received the messages if you need to follow up with anyone.
