You can now use One to turn a customer's existing shift schedule into shifts in Factorial. Attach an Excel file or screenshot, ask One to read it, and review the resulting shifts before publishing them.
Overview
One can read shift schedules from Excel files and screenshots, even when each company uses its own format, colours, initials, time blocks, or codes for days off.
It matches the people in the schedule to your employees, checks for existing shifts, and creates the new shifts as drafts. This lets you review everything before publishing it to the planner.
The feature is available to everyone.
How to use
- Open One
- Attach the customer's Excel file or a screenshot of their schedule
- Ask One to read the schedule and create the shifts
- For example, you can write: “Read the Excel and create the shifts”
- One reads the schedule and identifies the shifts, including the customer's own notation, such as time blocks, initials, and days off
- One matches the people in the schedule to your employees
- One checks whether shifts already exist for the same people and time periods
- If there are existing shifts, One asks you what to do with them
- Review the information identified by One and confirm that you want to create the shifts
- One creates the shifts in the planner as drafts
- Review the drafts and publish them when you are ready

One checks for existing shifts and asks you what to do with them before creating the new shifts. If some shifts already exist, review the options and confirm the action you want to take.
Shifts created from the schedule are saved as drafts. If the shifts were created but you do not want to publish them yet, you can review them and publish them when you are ready.
Tips and best practices
- Use the customer's original schedule. One can work with the notation already used in the file, so there's no need to reformat it first.
- Screenshots are supported. If the customer doesn't have the original Excel file available, you can attach a screenshot of the schedule instead.
- Review before publishing. Shifts are created as drafts, giving you the opportunity to check them before they become active.
- Let One handle existing shifts. If shifts already exist, One will ask you how you want to handle them instead of changing them without confirmation.
- Use it during demos. You can use a prospect's own schedule to show how their shifts would look in Factorial.
- Use it during onboarding. This can reduce the need to manually interpret and transfer schedules into Factorial.
