Observations in timesheets allow employees to add notes explaining specific entries. These notes help HR or managers understand any unusual time entries, clarify work hours, or add necessary context.
You can add or edit observations during the time tracking process or afterward when reviewing your timesheet.
How to add or edit observations
For your own timesheet:
- From the sidebar, click on Clock In
- Scroll through your timesheet and locate the relevant date

Click the three dots on the right:
- Select Add/Edit Observation

Enter your comment:
- A pop-up will appear. Write or modify the observation
- Save the changes

For an employee’s timesheet (admins/managers):
You will only see the three dots menu (with the option to add or edit an observation) if the employee has at least one clock-in registered for that day. If there is no clock-in record, the options will not appear—even for admins or users with permissions.
- From the sidebar, click Time Tracking
- Use the search bar or scroll through the list to find the employee
- Open their timesheet. Click their name to access their time records
- Locate the correct day

Click the three dots on the right:
- Choose Add/Edit Observation.

Enter or modify the note:
- A pop-up will appear for you to write the observation.
- Save the changes

Observation field not visible or buttons not available
If your company has enabled the "Enable edit restriction" setting under the time tracking policy, manual additions or edits to shifts are not considered valid until approved. In this case:
- The buttons to manually add or edit observations (via the three dots menu) will be disabled for everyone, including admins.
- However, you can still suggest a change by clicking the pencil icon next to the shift hours for that day > Add comment. This action will be saved as a change request, pending approval.

Can’t edit an entry: If your timesheet has already been submitted or approved, you may need to request that it be unlocked for editing.
