Activity log for Documents

Learn how to see the history of a document: who uploaded it, moved it, hid it or requested a signature, and when.

The Activity Log for Documents shows the history of a single document. Find out who uploaded it, moved it, hid it, sent it to the trash or requested a signature, and when it happened, without having to ask around.

Overview

Every document has its own activity timeline. The Activity Log works like the Activity Log in other Factorial modules, and entries are grouped by month.

The Activity Log records:

  • When the document was uploaded
  • Moves between folders
  • Hiding the document from the person or making it visible to them
  • Moving the document to the trash and restoring it
  • Signature requests
  • How each signature ended: signed, declined, email not delivered or canceled

Each entry is written as a sentence and shows who performed the action, along with the date and time.

For example: “Ana moved this document to Signed contracts” or “Ana requested the signature of Laura”.

Who can access the Activity Log?

Only people who can edit the document can see its history. This is because the log can show sensitive actions, such as a document that was hidden and later made visible again.

How to use

  1. In your sidebar, go to Documents
  2. Open the document
  3. Click on the clock icon at the top of the preview
  4. The Activity side panel opens with the history of that document
  5. Use the month selector to go back in time

If you cannot see the clock icon, check that you have edit access to the document. The Activity Log may also not be enabled for your company yet.

Limitations

  • History is recorded from 8 October 2026. Changes made before this date are not recorded, so older documents may only show their recent activity.

Tips and best practices

  • Check the Activity Log before asking around. If a document has moved, disappeared from an employee's view or landed in the trash, the history shows who did it and when.
  • Review signature outcomes. Use the log to see whether each signer signed, declined, didn't receive the email or had their request canceled.
  • Remember that access depends on permissions. Only people who can edit a document can see its history.
