Do it with One: "Who are the best employees in my team in the competency of project management?"
One can answer two kinds of competency questions (competencies are sometimes called skills): questions about your competency framework, such as competencies, levels and the level each role needs, and questions about competency scores recorded in performance reviews, such as who scores highest in a competency. Both are read only. One can't create or change competencies.
Before you start
- You need the Use One permission.
- To ask about the competency framework (competencies, groups, levels, expected levels per role, the Factorial catalog), you need to be an admin.
- To ask about competency scores, you need access to Performance and to the review results that contain the scores. Scores exist only if a review cycle included competency questions.
- Expected levels per role come from the Job catalog. If your roles have no expected levels, One can't compare scores with them.
Steps
Ask about your competency framework (admins)
- Open One.
- Ask, for example, "What competencies does my company have?" or "Tell me about the Communication competency in full detail".
- One lists competencies with their group. For detail questions, One also shows each level (name, description, order from lowest to highest) and the job catalog roles or levels the competency is assigned to.
- Ask "What competencies does the Engineer role require, and at what expected level?" to see the expected level for each level of that role, for example Junior, Mid and Senior.
Rank or compare people by competency scores (admins and managers)
- Open One.
- Ask, for example, "Who are the best employees in my team in the competency of project management?" or "Who has the lowest communication scores in my team?".
- One finds the competency, reads the scores recorded in the review and ranks people on the review's scale.
- To find development options, ask "What trainings can I plan based on the competencies that are lacking the most in my team?". One shows the recorded scores first, then trainings in your catalog related to those competencies.
Compare an employee's scores with the level their role expects (admins)
- Open One.
- Ask "Show @Ana García's competency gap: assessed score and expected level for her role".
- One shows each competency with the recorded score and the expected level side by side.
Rules and behavior
- If a competency has levels, then One orders them from the lowest (position 0) to the highest.
- If two competencies have the same name, then One tells them apart by their group.
- If you say "pick one" or "show me an example", then One chooses a competency itself instead of asking you.
- If a role has no expected level of its own, then One checks the levels below it (for example Junior, Mid, Senior), because expected levels are usually set there and inherited down the job catalog.
- If you compare a score with an expected level, then One shows both values but does not say "above", "on target" or "below", because a review score (for example 3/5) is not the same thing as a level (for example Advanced).
- If an employee has no role in the job catalog, then only competencies assigned to the whole company apply to them.
- If you ask about the Factorial catalog, then One explains that catalog competencies are templates, and shows which ones your company has adopted.
Limitations
- One can't create, edit, delete or reorder competencies, groups or levels.
- One can't assign competencies to roles or set expected levels.
- One can't adopt competencies from the Factorial catalog for you.
- One can't translate a review score into a proficiency level.
- Only admins can ask One about the competency framework (competencies, levels, expected levels per role, the Factorial catalog).
- One can't enrol people in trainings from a competency answer. Enrol them from Trainings.
Troubleshooting
- Symptom: "One says it can't help with competencies." → Cause: Questions about competency definitions are for admins only. → Fix: Ask about competency scores instead, which only needs Performance access.
- Symptom: "One finds no competency scores." → Cause: The review cycle had no competency questions, or you can't see its results. → Fix: Name a review cycle that assessed competencies.
- Symptom: "One shows no expected level for a role." → Cause: Expected levels are set on the role's levels, or not set at all. → Fix: Check the role in Job catalog and set expected levels per level.
FAQ
1. Can I ask One which competencies I'm expected to have?
Only admins can ask One about competency definitions. Otherwise, ask your manager.
2. Can One tell me if someone is below the expected level?
One shows the recorded score next to the expected level, but doesn't label it above or below.
3. Can One find successors for a role?
Yes. Ask, for example, "Identify potential successors for the Engineering Manager role based on leadership and project management competencies". One ranks people by their recorded scores.
4. Does One use the Factorial competency catalog?
Yes. One can list catalog competencies and tell you which ones you've adopted.
