Export the Employee sheet of a headcount plan

Export the Employee sheet of a headcount plan to Excel or CSV, with the filters and columns you choose.

You can export the Employee sheet of a headcount plan to an Excel or CSV file. The file includes the new headcount requests and the actual employees of the plan, with the same rows and totals you see in the table. This makes it easy to share the plan with Finance, work on it in a spreadsheet or keep a copy.

Overview

  • What you see is what you get: the export starts from the filters already applied to the sheet, so the file has the same rows and totals as the table.
  • Requests and people together: new headcount and actual headcount go in one sheet. A Headcount column tells them apart, and the two totals (Total new headcount and Total actual headcount) appear as the last rows.
  • Choose your columns: pick the fields you need (for example period cost, status, direct manager, role, salary, working time, workplace and dates), drag them into the order you want and rename them. Your last setup is kept for the next export.
  • Same visibility as the sheet: any data you can't see in the table, such as the salary, dates, working time or role of an employee, stays blank in the file too.

This feature is available for every company with Headcount Planning. There is nothing to enable.

How to use

  1. In your sidebar, go to Financial planning and open Headcount planning.
  2. Open the headcount plan and go to the Employee sheet tab.
  3. Click Export. The Export data from Employee sheet panel opens.
  4. Choose export format: select XLSX (Microsoft Excel) or CSV.
  5. Set filters: the filters already applied to the sheet are added. You can change them, remove them or click Add filter.
  6. Customize export columns: click Add column to choose the data fields you want, drag the columns into the order you need and, if you want, change the Export label of each column. To remove a column, click the minus icon next to it.
  7. Click Export.

The file is prepared in the background. When it's ready, you receive a notification in Factorial and an email with the download link. Large plans can take a few minutes.

FAQ

  1. Which file formats can I export to?
    XLSX (Microsoft Excel) and CSV.

  2. Why are some cells empty in my file?
The file follows your visibility in the sheet. If you can't see a value in the table, for example an employee's salary, it stays blank in the file.

  3. Do I have to set up the columns every time?
No. Your last column setup is kept for the next export.

  4. I can't see the Export button. Why?
You're probably looking at a saved version of the plan. Go back to the live plan to export it.

  5. Where can I find an export I made before?
Click Export on the Employee sheet and open Recent exports. You can also use the link in the email you received.
