Do it with One: "Which jobs is the Communication competency assigned to, and at which level?"
From the Jobs tab of a competency, you link the competency to jobs and set the competency level each job is expected to reach (the expected level, sometimes called target or required level). These links decide who is assessed on the competency in performance reviews and which expected level reviewers see.
Before you start
- You need Manage competencies to open the competency, See job catalog competencies to see the Jobs tab, and Edit job catalog competencies to assign, change or unassign jobs.
- A "job" here is a role and one of its levels from your job catalog, for example "Account Executive Senior". Set up roles and levels in the job catalog first.
- Create the competency levels first if you want to set expected levels. See Build your competency framework: groups, competencies and levels.
Steps
See which jobs use a competency
- Go to Performance > Competencies.
- The Jobs assigned column of the Company competencies table shows how many jobs each competency has. "No jobs assigned" means nobody is assessed on it.
- Click a competency and open the Jobs tab.
- The table lists each Assigned job and its Competency level. A red "No level" tag means the job is linked to the competency but has no expected level.
Assign jobs to a competency
- Go to Performance > Competencies > [competency] > Jobs.
- Click Assign jobs.
- In the Assign jobs panel, each level appears as a card. In the Assign to field of a level, click Select job(s) and choose the jobs that should reach that level.
- If the competency has no levels, one card lets you select the jobs for the whole competency.
- Click Save.
Change the expected level of a job
- Go to Performance > Competencies > [competency] > Jobs.
- Open the row actions (...) of the job and click Edit competency level.
- In the panel, select the new level ("Select a competency level for this job").
- Click Save.
Unassign a job from a competency
- Go to Performance > Competencies > [competency] > Jobs.
- Open the row actions (...) of the job and click Unassign.
- Confirm with Remove. The message reads "This job will lose its association with the competency [name]".
Rules and behavior
- If a job is linked to a competency, then everyone whose contract has that job is assessed on that competency in reviews that have Include competency assessment turned on.
- If a job has an expected level, then reviewers see the level's description under the heading Expected level below the competency question, and the results show the competency as "Competency (Level)", for example "Communication (Proficient)".
- If a job is linked to a competency without a level, then the job shows "No level" and reviewers assess the competency without an expected level.
- A job can have only one expected level per competency. Jobs already linked to one level are not offered for the other levels of the same competency.
- If you reorder levels, then each job keeps the level it had.
- If you delete a level, then the jobs linked to it show "No level".
- If an employee has no job from the job catalog in their contract, then no job-based competency applies to them.
- If you unassign a job, then people in that job are not assessed on the competency in reviews launched afterwards.
- Changes to job links or expected levels don't change reviews that are already launched: each reviewer's competency questions are fixed when the review is launched.
Worked example
The competency "Communication" has three levels: Basic, Proficient, Expert.
| Job | Expected level | What a reviewer of someone in that job sees | How results label it |
|---|---|---|---|
| Account Executive Junior | Basic | Communication + Expected level with the Basic description | Communication (Basic) |
| Account Executive Senior | Proficient | Communication + Expected level with the Proficient description | Communication (Proficient) |
| Sales Manager | Expert | Communication + Expected level with the Expert description | Communication (Expert) |
| Sales Development Rep | No level | Communication with its description, no Expected level | Communication |
Limitations
- You can't assign a competency to an individual employee; only to jobs.
- From this tab you assign job levels (role + level). To assign a competency to a whole role, function or family so it's inherited below, use the job catalog.
- You can't give one job two levels of the same competency.
- You can't see from this tab which employees hold each job; open the job in the job catalog.
Troubleshooting
- Symptom: "I don't see the Jobs tab on a competency." → Cause: You don't have See job catalog competencies. → Fix: Ask an admin for the permission.
- Symptom: "I don't see Assign jobs, Edit competency level or Unassign." → Cause: You don't have Edit job catalog competencies. → Fix: Ask an admin for the permission.
- Symptom: "A job I want isn't in the Select job(s) list." → Cause: The job is already linked to this competency (at another level or without a level), or the role has no levels in the job catalog. → Fix: Change the job's level with Edit competency level, or add levels to the role in the job catalog.
- Symptom: "An employee wasn't asked about a competency in their review." → Cause: Their contract has no job, a different job, or the job isn't linked to the competency. → Fix: Check the employee's job in their contract and the competency's Jobs tab.
- Symptom: "Edit competency level is missing for some rows." → Cause: The competency has no levels. → Fix: Add levels in the Levels tab first.
