Do it with One: "Which action plans in the 2026 review have been submitted, and when?"
When both the manager and the employee submit an action plan, Factorial generates a PDF of it and files it in the employee's Documents. If the review has Require electronic signature on, the PDF is sent for electronic signature through Signaturit and both have to sign it.
Before you start
- The PDF is generated only after both sides click Submit action plan.
- E-signature is set per review in Edit → Features → Allow action plans → Require electronic signature.
What the PDF contains
| Section | Content |
|---|---|
| Header | Performance action plan, employee, hire date, reviewer, who submitted and when (or signed, with e-signature) |
| Review answers | The self review and manager review answers, with comments |
| Action items | The agreed action items |
| Courses | Courses completed in <year> and Requested courses with who requested them and the request status |
| Conclusion | The manager's conclusion |
| Comments | Only if the manager ticked Include the comments in the PDF when submitting |
Steps
Find the PDF
- Open the action plan (Performance → Reviews → review → person → View agreement).
- The document card shows Generated on <date>. Click it to download.
- The PDF is also in the employee's Documents.
Sign the action plan (e-signature reviews)
- After both sides submit, the plan shows E-signature pending ("Both parties submitted the action plan. Now it's time to sign.").
- Each signer receives the signature request when the document is ready.
- Click Sign in the action plan, or follow the signature email, and sign.
- When both have signed, the status changes to Signed.
Status of the action plan document
| Status | Meaning |
|---|---|
| Generating | The PDF is being created. You get a notification when it's ready. |
| Submitted | Both submitted; no e-signature required. |
| Pending signatures | Waiting for one or both signatures (counter "1/2 signatures"). |
| Signed | Both signed. |
| Action plan declined | A signer declined. "It is no longer legally valid." |
| Action plan expired | Not signed by both within one year. It can no longer be signed. |
| Action plan deleted | The PDF was deleted. It stays in the trash for 30 days. |
Rules and behavior
- If both sides submit, then the PDF is generated automatically and the manager and employee are notified "Action plan PDF successfully generated".
- If the manager ticks Include the comments in the PDF, then the comment thread is added to the document, which is visible to everyone with access to the employee's documents. The employee sees the notice "The comment thread goes into the signed document".
- If e-signature is on, then the employee's submit dialog says "Confirm yours and we'll notify you when the document is ready for your digital signature."
- If an action plan stays unsigned by either party for more than one year, then it expires automatically.
- If the manager review has additional reviewers, then whoever signs the manager side is the one who e-signs. Only one manager signs.
- If a signer can't access the employee's documents, then the Sign button isn't shown to them.
Limitations
- You can't edit the PDF. It reflects the plan when both submitted.
- You can't regenerate the PDF yourself. Contact support if the content is wrong.
- You can't add more signers than the employee and the reviewer.
- You can't use e-signature without the e-signature feature in your plan.
Troubleshooting
- Symptom: "There's no PDF." → Cause: one side hasn't submitted, or it is still Generating. → Fix: check Pending submission in My agreements, or wait for the notification.
- Symptom: "The PDF is missing courses or long answers are cut." → Cause: the PDF was generated before a fix. → Fix: contact support to replace the PDF. If it was already signed, download the signed copy first; a replacement asks both people to sign again.
- Symptom: "The status is Action plan expired." → Cause: it wasn't signed by both within a year. → Fix: it can't be signed any more.
- Symptom: "I can't see the Sign button." → Cause: you don't have access to the employee's documents. → Fix: ask an admin to check your document permissions.
