Create and edit many time off requests at once with One. Attach a spreadsheet or describe what you need in your own words, review every leave on one card, and confirm the whole batch in a single step.
Overview
When your team's holidays arrive in a spreadsheet, you no longer need to enter each row as a separate leave. With One you can:
- Create up to 50 leaves at once from an Excel or CSV file, or from a sentence such as “Give the design team the 24th of December off”
- Edit leaves in bulk, for example “Move everyone's time off on the 24th to the 31st”
Before anything is saved, One shows you every leave it plans to create or change, and lists anything it can't save with the reason. This is available for every company with One, with nothing to enable. One works within your permissions in Factorial.
Create leaves in bulk
- Open One
- Attach your Excel or CSV file with the leaves, or skip the file and describe the leaves in your own words. For example:
- “Create these team holidays” (with the file attached)
- “Give Anna, Mark and Laura the 24th of December off as holidays”
- Review the card One shows you. It lists each employee, leave type and dates
- Check the Excluded section. It lists any rows One can't create, with the reason, for example a row that repeats another row's days
- If a row needs an answer, One asks you once for the whole batch
- Click Confirm to create all the leaves at once
Edit leaves in bulk
- Open One
- Describe the change in your own words. For example: “Move everyone's time off on the 24th of December to the 31st”
- Review the card. One finds the leaves and shows each change before and after
- Check the notices. One warns you which leaves may go back to pending approval after the change
- Check the Excluded section for any leaves that are not included and will stay unchanged
- Click Confirm to apply all the changes
What One checks before you confirm
Anything One can't save is listed first, with the reason, such as a leave that overlaps with another one or a balance that runs out.
If a row needs an answer from you, One asks once for the whole batch. For example, when a balance would go negative or a name matches more than one person.
One Confirm saves the whole batch. You won't end up with a half-finished batch to untangle.
Leave types that require a document are still created one at a time, so One can ask you for the file.
Tips and best practices
- Use one row per leave in your spreadsheet, with the employee, leave type and dates
- Use full names to avoid names that match more than one person
- Always review the card and the Excluded section before you click Confirm
- Employees are notified of their new or changed leaves
