Employees and managers don't see the incentive plan pages. Managers are notified when variable compensation is added for their direct reports, and anyone who can see a person's compensations in the payroll cycle can see how an incentive amount was calculated. Incentive plans are what employees often call their bonus, commission or variable pay.
Before you start
- The incentive plan pages in Compensation > Incentive plans are only for people with the Manage incentive plans permission.
- Your bonus amount and the goals it depends on are set by your HR team.
Steps
As a manager
- When HR sends a period of an incentive plan to payroll, you receive an email titled "Variable compensation added for your direct reports" and an in-app notification.
- Click Review in Factorial to open Compensation.
- If you can see your reports' compensations in the payroll cycle, go to Compensation > Cycles and open the cycle.
- Hover a report's variable compensation amount to see the incentive plan name, the overall payout percentage and each goal with its weight.
As an employee
- Your incentive payout is added to the payroll cycle as your variable compensation once HR sends the period.
- To know which plan and goals your bonus depends on, ask your HR team or manager.
- You can follow the goals themselves in the Goals module, if they're shared with you.
Rules and behavior
- If a person doesn't have Manage incentive plans, then they can't open incentive plans, see estimated payouts or see who is in a plan.
- If a period is sent to payroll, then the direct manager of each paid person receives an email and an in-app notification.
- If someone can see an employee's compensations in the payroll cycle, then they can hover an incentive amount to see the plan, the payout percentage and the goals with their weights.
- If the incentive amount was changed by hand in the payroll cycle, then the hover card isn't shown for that amount.
- Managers can switch off the "Variable compensation added for direct reports" notification in their notification settings, under Incentive Plans.
Limitations
- Employees can't see their incentive plan, their estimated payout or their payout breakdown in Factorial.
- Managers can't see their team's incentive plans or estimates before the period is sent, unless they have Manage incentive plans.
- Employees aren't notified when their incentive payout is sent.
- One's incentive plan features are for admins with Manage incentive plans only.
Troubleshooting
- Symptom: "I'm a manager and I got the email, but I can't see the amounts." → Cause: You don't have permission to see your reports' compensations in the payroll cycle. → Fix: Ask HR for the amounts, or for the permission.
- Symptom: "I'm an employee and I can't find my bonus plan." → Cause: Incentive plans are only visible to people who manage them. → Fix: Ask your HR team for your plan details.
- Symptom: "The hover card on the amount is missing." → Cause: The amount was edited by hand in the payroll cycle, or it doesn't come from an incentive plan. → Fix: Ask HR to check the plan's Payout breakdown.
FAQ
1. Where can I see how much bonus I'll get?
Not in Factorial before it's paid. Your HR team sees the estimate in the incentive plan. Once sent, the amount appears as your variable compensation in payroll.
2. Why did I get an email about my direct reports' variable compensation?
HR sent an incentive plan period to payroll, and you're the direct manager of at least one person who received a payout.
3. Can managers see the incentive plan of their team?
Only if they have the Manage incentive plans permission, which gives access to all plans in the company.
4. How do I stop the variable compensation emails?
Turn off "Variable compensation added for direct reports" in your notification settings, under Incentive Plans.
