Visibility configuration of Bank of hours, Balance and Extra Hours/Complementary hours

In Factorial, you can decide exactly who can see the time tracking counters — Bank of hours, Balance, and Extra hours / Complementary hours — on employees' timesheets. Each counter has its own visibility permission, so you can show or hide them independently for different groups of people.


 

What are these counters?

  • Bank of hours: the total extra hours an employee has accumulated in their bank of hours. It appears as a counter at the top of the timesheet.
  • Balance: the difference between the hours an employee has worked and the hours they were expected to work.
  • Extra hours / Complementary hours: the hours worked beyond the employee's reference point (planned or contractual hours). For part-time employees, these are shown as complementary hours.

 

How to configure the visibility of each counter?

Visibility is managed through permissions. To configure it:

  1. Go to SettingsPermissions.
  2. Select the permission group you want to configure (for example, Managers or Finance).
  3. Open the Time Tracking permissions section.
  4. Locate the three visibility permissions:
    • View bank of hours: see the bank of hours counter on the employee's timesheet, time tracking page, and exports.
    • View extra and complementary hours: see the extra hours and complementary hours counters on the employee's timesheet, time tracking page, and exports.
    • View time tracking balance: see the balance counter on the employee's timesheet, time tracking page, and exports.
  5. For each permission, tick the scope(s) that should apply:
    • For themselves
    • For direct and indirect reportees
    • For people on teams they lead
    • For people in their legal entity
    • For the whole company

 

How does it affect what users see?

Each permission works independently: when a permission is not granted, the corresponding counter simply disappears from the timesheet, the time tracking page, and exports for that user.

For example, on the My time tracking page below, the employee can see the three counters. If any of the three permissions is removed "For themselves", the matching counter will no longer be displayed:

  • Without View bank of hours → the Bank of hours counter at the top disappears.
  • Without View time tracking balance → the Balance card and column disappear.
  • Without View extra and complementary hours → the Extra hours card and column disappear.

Good to know

  • These permissions only control visibility of the counters — they don't change how hours are calculated or compensated.
  • You can combine them freely: for example, employees can see their balance but not their bank of hours, while HR sees everything for the whole company.
  • Hiding a counter also removes it from exports, so reports shared with that user won't include the hidden information.
