Compensate extra hours in bulk with One

Learn how to compensate the extra and special hours of many employees at once with One, by describing who and which period to compensate.

Compensate the extra and special hours of many employees at once with One. Describe who you want to compensate and for which period, review the proposal One prepares, and send it to payroll in a single step.

Overview

Compensating employees every month no longer requires combining filters, dates and timesheet reviews in Time tracking. With One you can:

  • Compensate in one message: describe the employees and the period, for example “Compensate employees in the Barcelona entity for July”, and One prepares a compensation proposal for you to review
  • Describe employees your way: combine team names, legal entities or locations, and One resolves any overlaps between them
  • Compensate hundreds of employees at once: One identifies timesheets that aren't approved and shows you the result of the compensation when it's done

Nothing is compensated until you confirm. This is available for all companies with One. One works within your permissions in Factorial.

Compensate employees in bulk

  1. Open One from anywhere in Factorial
  2. Describe the employees and the period you want to compensate. For example: “Compensate employees in the Barcelona entity for July”
  3. Review the Compensate pending hours card. It shows:
    • Period: the dates that will be compensated
    • People: the group of employees you described
    • To compensate: the number of employees included
    • Will be compensated: the list of employees included
    • Not included: employees that won't be compensated, with the reason, for example Timesheet not approved
  4. In Pay in, select the payroll period the compensation will be included in
  5. Click Compensate to confirm, or Cancel to stop
  6. Review the Result. One shows how many employees were compensated and the payroll period the hours were sent to, and how many employees weren't compensated

Understand why some employees weren't compensated

After the compensation, One suggests a follow-up to understand why some employees weren't compensated. Select it, or ask One in your own words, and One lists the reasons with the employees for each one. For example: No extra or special hours were tracked during this period.

Tips and best practices

  • Include both the group of employees and the period in your request, for example a legal entity, a team or a location, and a month
  • Always review the Not included section before you click Compensate
  • Check the payroll period selected in Pay in before confirming

FAQ

  1. Does One compensate the hours as soon as I send my message?
No. One first shows you a proposal with the employees that will and won't be compensated. Nothing is compensated until you click Compensate.

  2. Why is an employee in the Not included section?
One shows the reason next to each employee. For example, employees whose timesheet isn't approved for the period aren't included.

  3. Can I describe employees using more than one criterion?
Yes. You can combine team names, legal entities or locations, and One resolves the overlaps.

  4. Where can I start this from?
You can open One from anywhere in Factorial and ask it to help you compensate.
