Routines let you ask One to repeat a request automatically on a schedule. Set up a request once, and One can run it regularly and email you the result, so you don't need to ask the same question every day or week.
Overview
A routine is a scheduled request that One runs automatically for you. You describe what you need and how often you want it, and One repeats the request according to the schedule you confirm.
For example:
"Every Monday at 9:00, send me last week's missed clock-ins for my team"
One runs the request on the schedule you set and emails you the result.
How to use
- Open a conversation with One
- Describe what you want One to do and how often you want it to run
- Review the schedule One suggests
- Confirm the schedule
- One runs the request automatically according to the schedule and emails you the result
If your routine is not giving you the information you expected, try reviewing the original request and making it more specific. You can create a new request with clearer details about the information, people, dates, or frequency you need.
What routines can do today
Routines can currently send you reports and alerts.
They don't take actions on your behalf yet. For example, a routine can tell you that a meeting room hasn't been booked, but it won't book the room for you.
Who it is for
Routines are useful for anyone who needs recurring information without having to request it repeatedly. For example:
- Managers: Track their team's clock-ins or overtime regularly
- HR teams: Monitor recurring policy compliance
- Finance teams: Receive a weekly summary of expenses
Usage
Setting up and running a routine uses your daily One usage, just like any other request to One.
This is different from opening an existing report or dashboard and changing its date range. Simply changing the date range of an already saved report or dashboard doesn't use your One usage.
For more information, see One's plans and daily usage.
Tips and best practices
- Be specific about what information you want and how often you want to receive it
- Use a schedule that matches when you need the information—for example, a weekly summary at the start of the work week
- Remember that routines currently provide information and alerts; they do not perform actions for you
