Employees must be assigned to the corresponding permissions group for contracts permissions to apply.

 

 

How to set up your Documents permissions

  1. In your sidebar, go to Settings
  2. Click on Permissions
  3. Select the Documents section
  4. Enable or diable permissions 
  5. Click on Save changes

Some permissions let you choose the specific scope of a permission in Factorial: deciding who a user is allowed to perform a certain action on.

  • For themselves: Only on their own profile/data.
  • For direct and indirect reportees: On employees who report to them, directly or through a hierarchy.
  • For people on teams they lead: Only on members of teams they manage.
  • For people in their legal entity: Anyone in their department, branch, or company entity.
  • For the whole company: Across all employees in the organisation.
 

 

Documents Permissions

 

  • Edit private company documents
    This permission allows the employees inside the specific group of permissions to upload and delete private company documents that are only accessible to users with the appropriate authorization.

    The user must have permission See private company documents

     

     
  • Edit public company documents
    This permission allows the employees inside the specific group of permissions to upload, delete, and manage the visibility of public company documents that can be viewed by the entire company.

    The user must have permission See public company documents

     

     
  • See private company documents
    This permission allows the employees inside the specific group of permissions to view and download private company documents that are restricted to authorized users only.

    The user must have permission See private/public company documents according to the variables used (for example, using the {{salary_amount}} variable requires permission to see salaries).

     

     
  • See public company documents
    This permission allows the employees inside the specific group of permissions to view and download public company documents accessible to the entire company.
     
  • Set up the company's internal folder structure
    This permission allows the employees inside the specific group of permissions to create, rename, and delete the company’s internal document folders.
     
  • Set up the company's public folder structure
    This permission allows the employees inside the specific group of permissions to create, rename, and delete the company’s public document folders.
     
  • Set up the employee folder structure
    This permission allows the employees inside the specific group of permissions to create, rename, and delete employee document folders.
     
  • Use document templates
    This permission allows the employees inside the specific group of permissions to add, delete, preview, and send document templates in bulk, using variables only if they have the necessary permissions for those data points (for example, viewing salaries to use the {{salary_amount}} variable).
     
  • View and edit all company and employee documents
    This permission allows the employees inside the specific group of permissions to manage all company and employee documents, send documents in bulk, request e-signatures, and access all employee files.

    It requires view document permissions to access specific folders if the user wants to send documents in bulk or request e-signatures.

     

 

All of these permissions are general: if selected, every employee within the permission group will be able to perform the corresponding actions.

 

 

  • Edit documents in folder Agreements
    This permission allows the employees inside the specific group of permissions to send documents in bulk (if they have company-wide permissions), request e-signatures, and view all employee documents included in the Agreements folder.

    The user must have permission View documents in folder Agreements

     

     
  • Edit documents in folder Ids
    This permission allows the employees inside the specific group of permissions to send documents in bulk (if they have company-wide permissions), request e-signatures, and view all employee documents included in the Ids folder.

    The user must have permission View documents in folder Ids

     

     
  • Edit documents in folder Modelo 145
    This permission allows the employees inside the specific group of permissions to send documents in bulk (if they have company-wide permissions), request e-signatures, and view all employee documents included in the Modelo 145 folder.

    The user must have permission View documents in folder Modelo 145

     

 

  • Edit documents in folder My application files
    This permission allows the employees inside the specific group of permissions to send documents in bulk (if they have company-wide permissions), request e-signatures, and view all employee documents included in the My Application Files folder.

    The user must have permission View documents in folder My Application Files

     

 

  • Edit documents in folder onboarding
    This permission allows the employees inside the specific group of permissions to send documents in bulk (if they have company-wide permissions), request e-signatures, and view all employee documents included in the Onboarding folder.

    The user must have permission View documents in folder Onboarding

     

     
  • Edit documents in folder Payslips
    This permission allows the employees inside the specific group of permissions to send documents in bulk (if they have company-wide permissions), request e-signatures, and view all employee documents included in the Payslips folder.

    The user must have permission View documents in folder Payslips

     

 

  • Edit documents in folder Time off
    This permission allows the employees inside the specific group of permissions to send documents in bulk (if they have company-wide permissions), request e-signatures, and view all employee documents included in the Time Off folder.

    The user must have permission View documents in folder Time Off

     

 

  • Edit documents in folder trainings
    This permission allows the employees inside the specific group of permissions to send documents in bulk (if they have company-wide permissions), request e-signatures, and view all employee documents included in the Trainings folder.

    The user must have permission View documents in folder Trainings

     

 

  • Edit employee documents based on hierarchy (overrides folder permissions)
    This permission allows the employees inside the specific group of permissions to upload, delete, and manage the visibility of employee documents for selected groups, following the company hierarchy and overriding folder-specific permissions.

    The user must have permission View employee documents based on hierarchy.

     

 

  • Edit employee documents without a folder
    This permission allows the employees inside the specific group of permissions to upload, delete, and manage the visibility of employee documents that are not in a folder, for the selected groups according to the company hierarchy.

    The user must have permission View employee documents without a folder.

     

 

  • View documents in folder Agreements
    This permission allows the employees inside the specific group of permissions to view employee documents in the Agreements folder for all employees included in the group’s visibility settings.
     
  • View documents in folder Ids
    This permission allows the employees inside the specific group of permissions to view employee documents in the Ids folder for all employees included in the group’s visibility settings.
     
  • View documents in folder Modelo 145
    This permission allows the employees inside the specific group of permissions to view employee documents in the Modelo 145 folder for all employees included in the group’s visibility settings.

    This permission allows the employees inside the specific group of permissions to view employee documents in the Time Off folder for all employees included in the group’s visibility settings.
     
  • View documents in folder trainings
    This permission allows the employees inside the specific group of permissions to view employee documents in the Trainings folder for all employees included in the group’s visibility settings.
     
  • View employee documents based on hierarchy (overrides folder permissions)
    This permission allows the employees inside the specific group of permissions to view and download employee documents for the selected groups according to the company hierarchy, overriding folder-specific permissions.
     
  • View employee documents without a folder
    This permission allows the employees inside the specific group of permissions to view and download employee documents that are not in a folder for the selected groups according to the company hierarchy.
