Manual adjustments to time off counters

Manual Adjustments allow HR managers and administrators to directly add or subtract days from a collaborator’s time off balance, outside of automated accrual policies or time off requests.

Manual adjustments provide flexibility in managing unique or exceptional situations that can’t be covered by the regular time off policy settings. You might need to use this feature in cases such as:

  • Correcting an incorrect time off balance
  • Adding extra days for a special leave agreement
  • Removing days due to a policy change or miscalculation
  • Managing manual carry-overs from a previous system
  • This ensures that the collaborator's balance accurately reflects their actual available days

How to Use

To make a manual adjustment to a time off counter, follow these steps:

  1. On your sidebar, go to organization section
  2. Select the collaborator whose time off counter you want to adjust
  3. Click on the Time Off tab in their profile
  4. Locate the Time off allowance adjustments section
  5. Click on Add adjustment

In the adjustment window, enter:

  1. The time off allowance where you want to add or subtract time
  2. The adjusted cycle
  3. The amount of days or hours to be added or subtracted
  4. If you want to adjust it from available days or accrued days
  5. The reason for the adjustment (optional but recommended)
  6. Click Add to apply the change

The adjustment will be reflected in the collaborator’s balance and visible in the time off log for transparency.

Use positive numbers to add days and negative numbers to subtract days.

When changing an employee's absence policy, if they have manual adjustments, you will see an option to either add them directly to the balances or, alternatively, you can select 'Ignore.' If you choose 'Ignore,' the adjustments will remain recorded as manual adjustments.

Adjust balances with One

You can also ask One to add, edit or delete adjustments of days or hours for one employee, a list of people or a whole file, such as a payroll export. You can give One the days or hours to add or subtract, or the final balance each person should end with, and One works out the adjustment.

  1. Open One
  2. Describe the adjustment in a sentence, or attach your file
  3. Answer any questions from One. One only asks for what's missing, such as the cycle, the description or whether to notify the employees
  4. Review the summary table. It shows each person with their balance before and after the adjustment
  5. Check the rows that were left out. Rows that can't be done are excluded with the reason, and you decide whether to go ahead without them or cancel
  6. Click Confirm to save the whole batch at once

For descriptions, you can use one shared description for all rows, a different description per row, or none.

Only people with the Manage adjustments permission can adjust balances with One. It's available for every company with One, with nothing to enable.

One warns you when a balance goes negative or over the cycle's entitlement, but doesn't block the adjustment.

Files with more than 50 rows are split into batches of 50, and each batch is confirmed separately.

Creating adjustments in bulk with One is free. Single adjustments, and bulk edits or deletes, use One credits.
