Save time and keep your document signing process consistent with reusable signature setups. Admins can define signers, signing order, and optional signature stamp positions once, so senders can reuse the same configuration whenever they send an Employee or Company private document for signature.
Overview
Reusable signature setups let admins create standard signing configurations in Documents settings. A setup can include:
- The people who need to sign
- Whether signatures are collected sequentially or in parallel
- The page, position, and size of each signature stamp, if required
When sending a document, the sender can select an existing setup, review the signers and signature placement, and send the document without configuring the signing flow from scratch.
This functionality is available for Employee documents and Company private documents. It isn't available for Public documents.
How to use
Creating a reusable signature setup
- In your sidebar, go to Settings
- Access the Documents section
- Open the Signature templates tab
- Click on +New template
- Fill in the details and add the required signers
- Choose whether signers should sign sequentially or in parallel
- Define the signature stamp placement using an example document, including the page, position, and size
- Save the setup


Using a signature template when sending a document
- Start sending an Employee document or Company private document for signature
- In the document settings, enable the toggle for Request E-signature
- Select Use a template
- Review the predefined signers and signing order
- Preview the signature stamp positions, if they were defined in the setup
- Make any necessary adjustments or choose to configure the signing flow manually
- Send the document

If a reusable signature setup isn't available when sending a document, check that you're sending an Employee document or Company private document. Reusable signature setups aren't available for Public Documents.
If the signature appears in the wrong place, review the signature stamp placement saved in the setup. The position, page, and size are defined when the setup is created.
If you need a different signing flow for one document, you can configure the signing flow manually instead of using a reusable signature setup.
Tips and best practices
- Create setups for documents you send regularly, such as contracts, agreements, and policies
- Use clear names for setups so senders can quickly identify the right configuration
- Define signature positions when documents follow a consistent format
- Review the signer list and signing order before saving a setup to avoid sending documents incorrectly
- Manual configuration is still available when a document doesn't fit an existing setup
