Share a manager review with additional reviewers (co-reviewers)

Some employees answer to more than one manager, for example a line manager and a project or functional manager. With additional reviewers, more than one manager can weigh in on the same Manager review. The original reviewer and the additional reviewers share one evaluation: any of them can fill it in and submit it, and all of them see the answers.

Before you start

  • You need to be an owner of the review or have Reviews > Review Process Full Visibility.
  • The review must be Active.
  • You can only add additional reviewers to a Manager review (Manager to direct report), not to self, peer or direct report reviews.

 Step by step

Add, change or remove additional reviewers

  1. Go to Performance > Reviews and open the active review.
  2. In the Insights tab, click the person being evaluated.
  3. On the Manager review card, open the menu (…) and click Manage additional reviewers.
  4. Select one or more people. The dialog explains: "Select the people who share this review with the reviewer. Everyone can fill in and submit the same review and see the answers. Answers save automatically and the latest ones overwrite previous ones, so only one person should edit at a time."
  5. To remove someone, clear them from the selector.
  6. Click Save.

Fill in a shared review (reviewer or additional reviewer)

  1. Open the review from your inbox task or your pending evaluations, as with any other review. See Complete a review and run the action plan.
  2. Agree with the other reviewers on who writes. If someone else has the review open at the same time, you see "<name> also has this review open".
  3. Answer and click Submit. One submission counts for everyone: the review is submitted for all its reviewers.

Rules and behavior

  • If you add an additional reviewer, then they get the review as an inbox task and the "You have new evaluations to complete" notification. They also get the review's reminders while it is pending.
  • If the original reviewer or any additional reviewer submits, then the manager review is submitted. There is still one manager review and one manager score for the employee.
  • If two reviewers have the review open at the same time, then both see a warning naming the other person. Answers save automatically and the latest save replaces the other person's answers, so agree on who edits.
  • If someone is an additional reviewer, then, in that review, they see the evaluated employee the way the employee's manager does: every evaluation of that person, the submitted answers, the scores and the AI insights, with the same timing as managers (when the review is Finished, or earlier if Grant managers early access to responses is on). They can also see the score details and export that person's results.
  • If action plans are on, then an additional reviewer can start the action plan and sign the manager side. Only one person signs the manager side. If e-signature is on, whoever signs the manager side is the one who e-signs.
  • If an action plan starts, then additional reviewers get the action plan notifications too: the plan started, the employee signed, and new comments.
  • If you add someone after the manager review is submitted, then they can read the submitted answers and the results.
  • If you Replace reviewer on the manager review, then the additional reviewers stay. If you replace the reviewer with one of the additional reviewers, then that person becomes the reviewer and is no longer an additional reviewer.
  • The names of the reviewer and the additional reviewers appear together wherever the reviewer is shown: the evaluation card, the answer page, Past reviews in View context, the action plan and the person's results.
  • You can add employees and external collaborators. You can't add people who left the company.
  • You can't add someone who is already part of that employee's reviews in this cycle: the employee themselves, any of their reviewers, or someone already added to another of their manager reviews. Factorial shows "That person is already part of this employee's review. Select someone else".

Limitations

  • Additional reviewers only work on Manager reviews.
  • You can only manage additional reviewers while the review is Active.
  • All reviewers share one set of answers. Each additional reviewer doesn't get their own questionnaire or score.
  • Two people can't edit the review at the same time safely. The last save wins.
  • Additional reviewers don't see the employee in the 9-box or talent analytics through this review.
  • Additional reviewers can't assign peers. Admins, owners and the employee's direct manager still do that.

 Troubleshooting

  • Symptom: "Manage additional reviewers doesn't appear." → Cause: it's not a manager review, the review isn't Active, or you're not an owner or admin with Review Process Full Visibility. → Fix: ask an owner or admin, or reopen the review if it's finished.
  • Symptom: "That person is already part of this employee's review. Select someone else." → Cause: the person is the employee, already reviews them in this cycle, or is already an additional reviewer on another of their manager reviews. → Fix: pick someone else, or use Replace reviewer if you want them to be the reviewer.
  • Symptom: "People who left the company can't be additional reviewers. Select someone else." → Cause: the person is terminated. → Fix: pick an active employee.
  • Symptom: "You can manage additional reviewers only for a manager evaluation in an active review." → Cause: the review isn't active or the evaluation isn't a manager review. → Fix: use a manager review in an active review.
  • Symptom: "My answers disappeared." → Cause: another reviewer saved the same review after you, and the latest save wins. → Fix: agree on one person writing at a time. Watch for the "also has this review open" warning.

FAQ

1. Can more than one manager evaluate the same employee?
Yes. Add the other managers as additional reviewers on the employee's Manager review. They all work on the same review.

2. Does each manager fill in their own questionnaire?
No. The reviewers share one evaluation. Any of them can fill it in and submit it, and there's one manager score.

4. Can an employee see who their additional reviewers are?
Yes, if they can see the manager review, its reviewer names show together.

5. Can I add a co-reviewer to a peer or self review?
