ONE is the assistant built into Factorial IT. It answers questions and carries out tasks for you anywhere in the console, using the page you are on as context.
Feature/Functionality
Overview
ONE knows which page you are viewing. It reads your published knowledge base items and can call the tools you make available through connectors.
It covers the whole platform. It uses all your Factorial IT data (employees, devices, orders, SaaS, tickets and more) plus the record or list in front of you.
What you can ask
- Look things up. For example: "Which devices are non-compliant?" or "List employees with no assigned device."
- Get a summary. Of one employee, one device, or the onboardings and offboardings in a given period.
- Build a report. For example: "Generate a fleet health report" or "Do a SOC 2 audit." ONE can produce formatted HTML reports that you preview inside the chat.
- Take action. It carries out tasks in Factorial IT or in a connected system, once you approve.
- Turn a repeated request into an agent. When you ask for something you do often, ONE answers and then suggests a custom agent for it, with a name, what it does and when it runs. Click Set it up to draft the agent in the chat. Nothing is created until you confirm.
- Search the web. It brings in up-to-date information from outside Factorial IT.
- Create files. It produces documents and exports from your request.
- Read what you attach. PNG images, PDFs and other files.
- Apply your knowledge base. It follows your published skills and policies.
- Use connected tools. It calls tools from any connected MCP server (a standard way for AI to call external tools). Choose which connectors are active for a conversation with the Connectors control in the message box.
ONE remembers what was said earlier in a conversation, so you can keep building on previous answers.
How to use
- On any page, click the Chat icon in the top bar. The chat panel opens.
- Pick one of the suggestions shown for the page, or type your own request.
- Send it and read the answer.
The suggestions change with the page you are on, for example:
| Page | Example suggestions |
|---|---|
| Devices | "Which devices are non-compliant?", "List devices with no assigned owner" |
| Onboardings | "Which onboardings are behind schedule?", "List new joiners missing a device this week" |
| Offboardings | "Which offboardings still have a device to collect?" |
| Employee detail | "Summarise this employee", "Is this employee fully onboarded?" |
Add context
- Type
@in the message box to attach a connector or a knowledge base item to your question. - To add files, click Attach files and choose the documents or images ONE should look at.
Approve actions
If your request needs a tool that writes or changes data, ONE stops and asks first.
- Review the proposed action.
- Click Accept to run it, or Cancel to stop it.
Manage conversations
Each chat is saved as a conversation. Open the conversations menu to go back to an earlier thread, rename it or start a new one.
Data security and privacy
Factorial IT handles your data only to deliver the service, acting as a processor under a Data Processing Agreement (DPA).
To run its AI features, the data needed to answer your request goes to the model providers, Anthropic and OpenAI. Under those terms:
- The providers never train their models on your data.
- The providers delete your data within 30 days.
- Standard Contractual Clauses (SCCs) cover any transfer outside the EU.
The full list of sub-processors, including AWS, Anthropic and OpenAI, is published in the DPA.
Tips and Best Practices
- Ask from the right page. ONE uses the page you are on, so open the device or employee first and ask about "this" one.
- Start from the suggestions. They are tuned to the page and show what ONE does well there.
-
Use
@to point ONE at a policy. It then answers in line with that knowledge base item. - Read every proposed action before clicking Accept. Nothing that changes data runs without your confirmation.
- Turn on only the connectors a conversation needs. Use the Connectors control in the message box.
- Rename useful conversations. It makes them easy to find again in the conversations menu.
Troubleshooting and FAQ
Troubleshooting
-
ONE does not follow one of your policies. Check that the knowledge base item is published, or attach it with
@. - ONE cannot use an outside tool. Check that the connector is switched on for this conversation in the Connectors control.
- An action did not run. Actions that write or change data wait for you to click Accept.
FAQ
-
Where do I open ONE?
Click the Chat icon in the top bar. It is available on every page.
-
Can ONE change data without asking?
No. Any tool that writes or changes data needs your Accept first.
-
Does ONE remember earlier messages?
Yes, within the same conversation.
-
Is my data used to train AI models?
No. The model providers never train on your data and delete it within 30 days.
-
Can ONE create an agent for me?
It can suggest one when you ask for something repeatedly. Click Set it up to draft it in the chat. Nothing is created until you confirm.
