Explore how to track policy changes effectively, compare versions, and communicate updates to employees for better compliance.

Policy version history helps you keep track of changes made to published Handbook Pages. You can review previous versions, compare them with the live version, restore an older version, and communicate changes to affected employees.


 

Overview

Policy version history lets users with the required permissions:

  • View all published versions of a Handbook Page
  • Read the content of a previous version
  • Compare a previous version with the current live version and see exactly what changed, including text and other types of content
  • Restore a previous version without immediately changing what employees see
  • Review and edit an automatically generated summary of the changes before publishing
  • See the policy number in the Handbook Page header

When a new version is published, affected employees receive the change summary in the Policy updated email and notification.


 

How to use

  1. In your sidebar, go to Handbook
  2. Open the relevant Handbook Page
  3. Select a policy
  4. Click on the three dots at the upper right corner 
  5. Select History
  6. To identify changes, enable the toggle for Highlight changes
  7. Scroll through the changes by clicking the arrows
  8. If you want to use an older version again, click on Restore this version
  9. Before publishing an updated policy, review the summary of what changed
    • You can save the draft and publish it later
  10. Publish the new version when you're ready
  11. Once published, affected employees receive the Policy updated notification and email with the change summary

If you restored an older version but employees still see the current version, review the restored version and publish it when you're ready for employees to see the changes. Restoring a version does not immediately change the published content. 

If the change summary is not accurate or does not explain the update clearly, review and edit the automatically generated summary before publishing. This allows you to provide employees with the context they need.

 

 

Tips and best practices

  • Review the restored version carefully before publishing it
  • Use the change summary to highlight the most relevant updates for employees
  • Edit the automatically generated summary when additional context would help employees understand the change
  • Use the policy number in the page header to help identify the version of the policy employees are viewing
  • Remember that restoring a version does not automatically make it visible to employees. The restored version must be published first.

  1. Can I see what a policy said in the past?
    Yes. Users with the required permissions can view every published version of a policy and read its content.
     
  2. Can I compare an old version with the live version?
    Yes. You can compare a previous published version with the current live version to see what content has changed.
     
  3. Does restoring an old version immediately change the policy employees see?
    No. Restoring a version does not change the live policy. You can review the restored version before publishing it.
     
  4. Who receives the policy update notification?
    Employees affected by the Handbook Page receive the Policy updated email and notification when a new version is published.
     
  5. Can I edit the change summary before employees receive it?
    Yes. The change summary is generated automatically and can be edited before you publish the new version.
     
  6. Can employees identify the policy version they're viewing?
    Yes. The policy number is displayed in the Handbook Page header.
