Schedule interviews and send booking links with One

Ask One in your own words to schedule a candidate interview or send a booking link, and confirm everything from a single card.

Schedule a candidate interview or send a booking link by asking One in your own words. One finds the application and the interviewers, checks their connected calendars, writes the invitation for you and waits for your confirmation before anything is created or sent.

Overview

Before, scheduling an interview meant going through every step of the Schedule interview wizard by hand: choosing the interviewers, checking their calendars, picking a time, choosing a template and writing the invitation. With One, you describe what you need and One prepares everything for you to review.

You can schedule in two ways:

  • Pick a time yourself: choose the interview time from the interviewers' real availability.
  • Send a booking link: offer several times and let the candidate choose the one that works best for them.

If your request doesn't say which option you prefer, One asks you.

When and why it should be used

Use this functionality when:

  • You want to schedule an interview without going through the wizard step by step
  • You want One to check the interviewers' calendars for you
  • You want the invitation to be written for you from your message templates

How to use

  1. Open One
  2. Ask for an interview or a booking link in your own words. For example:
    • "Send Ana a booking link for a technical interview with Marc"
    • "Schedule an interview with Ana and Marc on Thursday"
  3. One takes the application from the page you are on, finds the interviewers and checks their connected calendars
  4. If you want to pick the times, One shows a slots card:
    • The interviewers are shown at the top, and you can edit them
    • Choose one or more days and times from the list, based on the interviewers' calendars
    • Click Use selected times
  5. One picks the message template that best matches your request and fills in the candidate, job, sender and company. If no template fits, One writes a short invitation
  6. Review the confirmation card. It shows the same overview as the wizard:
    • Candidate, job and phase
    • Interviewers
    • Times
    • Interview type and location
    • The invitation, which you can edit below the card
  7. Click Confirm to create the interview or send the booking link

Nothing is created or sent until you confirm on the card. The interview or pending booking link then appears in Factorial exactly as if you had created it from the wizard.

Default settings

To save you questions, One uses these defaults unless you say otherwise in your request:

  • Time zone: your time zone
  • Duration: 60 minutes
  • Video call: Factorial Meetings. If your company doesn't have Factorial Meetings, or if you name another tool or paste a meeting link, the interview is set as online
  • Organizer: you

Interviewers' availability

The times in the slots card come from the interviewers' connected calendars. Busy times are shown muted, but you can still select them, as in the wizard.

Only users with a connected calendar can be organizers. If an interviewer hasn't connected their calendar, their availability can't be checked. Learn more in How to schedule interviews.

Tips and best practices

  • Ask One from the candidate's application, so it can take the application from the page
  • Say in your request whether you want to pick the time or send a booking link, to skip the question
  • Mention the interview type, duration or video call tool in your request if you don't want the defaults
  • Check the invitation on the confirmation card and edit it if needed before confirming

No. One shows a confirmation card first. The interview is only created, or the booking link only sent, when you click Confirm.

  2. Can I change the interviewers One suggests?
Yes. You can edit the interviewers on the slots card.

  3. Can I book a time when an interviewer is busy?
Yes. Busy times are shown muted but can still be selected, as in the wizard.

  4. Can I edit the invitation?
Yes. The invitation is shown below the confirmation card and you can edit it before confirming.

  5. Is an interview scheduled with One different from one scheduled in the wizard?
No. The interview or pending booking link appears in Factorial exactly as if it had been created from the wizard.
